The Maintenance Coordinator is responsible for overseeing inventory productivity, ensuring that parts and supplies are available in the right quantities and specifications to support timely maintenance services. They work closely with the centralized parts ordering team to order parts, verify deliveries, and maintain organized storage. The incumbent must also manage battery and tire inventories, oversee warranty items, and support timely and accurate repair scheduling in collaboration with the Customer Service Coordinator.

Additionally, the Maintenance Coordinator is charged with conducting process analyses and reviews related to inventory, maintenance profitability, warranty campaigns, and repair orders. They use systems like ServiceNet or AS400 to gather operational data that informs problem-solving and continuous process improvements. The position also involves supporting branch financial management by providing essential information and guidance to optimize branch performance and profitability. The role requires responsibility, attention to detail, strong communication skills, and the ability to collaborate effectively across departments.

Job Requirements

  • High school diploma or equivalent
  • Two years customer service and operations experience
  • Experience in service and parts department preferred
  • Advanced computer skills including Microsoft Office applications
  • Regular, predictable, full attendance
  • Willingness to travel as necessary
  • Ability to work required schedule and specific location
  • Completion of Penske employment application
  • Submit to background investigation including past employment, education, criminal history
  • Pass drug screening
  • Ability to occasionally lift and move up to 25 pounds
  • Effective verbal and written communication skills
  • Ability to stand, walk and sit as required
  • Ability to read, remember, analyze information and follow instructions

Job Qualifications

  • High school diploma or equivalent
  • Degree preferred
  • Two years or more of experience in customer service and operations
  • Experience in service and parts departments preferred
  • Strong interpersonal and relationship-building skills
  • Competent written and verbal communication skills
  • Agile and quick learner with a willingness for continuous education
  • Advanced computer skills including Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to work collaboratively with team members

Job Duties

  • Oversee inventory productivity at the branch for timely service support while mitigating inventory loss
  • Maintain optimal inventory levels through parts ordering and supplier coordination
  • Receive and store parts in an organized and accessible manner
  • Conduct frequent inventory cycle counts and update PartsNet timely
  • Manage new and used battery inventory and ensure tire availability with correct specifications
  • Ensure warranty items are shipped, received on time, and returns followed up in partnership with the warranty department
  • Collaborate with Customer Service Coordinator to schedule repairs as parts become available
  • Support vendor accountability and ensure correct payment processing
  • Perform process analyses of inventory, maintenance profitability, warranty campaigns, cycle counts, and repair order reviews
  • Use systems such as ServiceNet or AS400 for operational data analysis and process improvement
  • Support branch financial manager by providing guidance and information to enhance branch performance and profitability
  • Complete projects and tasks assigned by Branch and District Financial Managers
