The role being offered is for a client services representative who will be a vital member of the organization, providing exceptional service to homeowners, residents, board members, and coworkers. In this dynamic position, you will be tasked with various responsibilities including addressing and assisting walk-in clients during lobby hours, maintaining and updating client databases, managing client inventory such as keys and pool passes, and handling communication channels like fax email inboxes and emergency phone calls. Additionally, the role involves direct collaboration with community managers to oversee and implement changes related to pool usage, parking, and moves. You will also be managing incoming mail, distributing packages, supporting the customer service team, and greeting and documenting visitors and vendors.

This position suits someone who is highly organized, dependable, and possesses strong administrative skills. Candidates should have a solid background in customer service and excellent communication skills, both written and verbal. A background in real estate or property management is considered a plus, although not mandatory. Proficiency in navigating the internet and computer applications is essential, and bilingual skills in English and Spanish are an additional advantage.

Job Duties

  • Address and assist all walk-in clients during lobby hours of 8:00 am - 5:00 pm
  • Keep inventory and stock client needed items such as keys, stickers, fobs, pet tags, and pool passes
  • Update and maintain client database with changes to pool, keys, parking, moves, etc.
  • Check and distribute the fax email inbox
  • Answer emergency calls and forward as necessary
  • Work directly with Community Managers to review changes to rules and regulations related to pool, keys, parking, moves, etc.
  • Address incoming customer care mail on a daily basis
  • Follow up on returned homeowner move fees and room rental fees
  • Back up for sorting UPS mail
  • Receive all packages and distribute to the correct departments
  • Help support the customer service team with voicemails and emails during downtime
  • Greet, direct and document all visitors, vendors, clients, job candidates, new employees and customers
  • Answer main line phone and direct calls accordingly
  • Perform other duties as assigned
