The Tour Booking Coordinator role supports the global touring booking team responsible for planning and executing international music tours. Approximately 80% of the tours handled involve Latin artists, so fluency in Spanish language and culture is essential. This position plays a critical role in the administrative functions of tours of all sizes and is integral to ensuring smooth execution from routing schedules to contract reviews. The coordinator manages tour calendar availabilities, maintains organization of critical tour documents such as confirmations and technical packages, and utilizes internal systems like TM1 to gather ticketing data. Additionally, the role acts as a liaison on site and helps fulfill ticketing requests while working closely with tour finance teams on reporting and payments. The position involves preparing and distributing tour reports and monitoring event budgets under supervision.

Candidates should be passionate about music and live experiences and demonstrate exceptional communication skills. The ability to multitask, meet tight deadlines, and collaborate effectively in a fast-paced and evolving environment is key. Attention to detail, problem-solving skills, and proficiency in computer tools such as word processing, spreadsheets, PowerPoint, Salesforce, and Concur are required. This is an hourly position with an expected salary range between $20.00 and $25.00 USD per hour, depending on market location, qualifications, skills, and experience. Job Requirements

Job Duties

  • Assist in administration for tours of all sizes
  • Gather and manage calendar avails and holds
  • Organization of the Tour Routing file
  • Complete and distribute tour files like confirmations, contacts, and tech packs with guidance
  • Manage tour files to ensure all essential documents are properly archived
  • Utilize TM1 and other systems to gather ticketing related data
  • Assist with industry and guest ticketing requests and serve as a liaison on site as needed
  • Work with tour finance on reporting and payment needs
  • Create reports as needed and distribute to internal and external stakeholders
  • Update and maintain event budgets with supervision
  • Gather information and documents necessary for Tour Directors and Promoters to make decisions
  • Review artist contracts per company guidelines
  • Liaise with artists, agents, managers, and related industry participants
