The role of the Intake Administrative Support Specialist within the OhioRISE Intake Department is vital to the accessibility and smooth operation of the agency's services. This position is designed for a detail-oriented individual who will ensure the timely, accurate, and efficient processing of referrals and client information. The specialist will manage member records, track referral activities, coordinate communication with families, providers, and community partners, and maintain centralized communication channels such as the OhioRISE administrative email. This administrative role is pivotal in supporting quality service delivery and provides a foundation for client engagement and care coordination within the OhioRISE program. Job Requirements
- Requires a high school diploma or GED
- at least 3 years' experience in healthcare, behavioral health, or administrative support
- proficiency in computer systems including Microsoft Word, Excel, and electronic health records
- strong organizational and time management skills
- must be able to prioritize tasks and work under frequent interruptions
- excellent written and verbal communication skills
- ability to work independently and exercise sound judgment
- ability to maintain confidentiality and handle sensitive information appropriately
- must demonstrate professionalism and strong customer service skills
- comfortable working with individuals experiencing behavioral health challenges
- requires CPI 90 days following hire
- must be able to work independently and make independent decisions when situations warrant such action
Job Qualifications

Job Duties
- Monitor, review, and track incoming referrals to ensure timely processing and access to OhioRISE services
- create, maintain, and update member charts and records within the electronic health record system, ensuring accuracy and completeness of documentation
- coordinate with intake staff, families, providers, and community partners to support referral follow-up and service engagement
- conduct outreach activities, including follow-up calls and communication with members and stakeholders regarding services and next steps
- manage the OhioRISE administrative email inbox by reviewing, prioritizing, routing, and tracking communications to ensure timely responses
- collect, compile, and maintain intake and referral data, assisting with reporting, audits, performance metrics, and data integrity efforts
- provide professional customer service and administrative support to clients, families, team members, and external partners while maintaining a service-oriented approach
- participate in training, supervision, and team meetings while adhering to agency policies, confidentiality requirements, compliance standards, and other assigned duties
