The HR Compliance Specialist role at USA DeBusk is a vital position focused on ensuring regulatory and legal compliance within the company's human resources functions. This full-time role centers around managing compliance with regulatory standards pertinent to screening and hiring potential employees, maintaining adherence to client contractual and safety obligations, and supporting various HR operational tasks. The specialist will manage adverse employment notices, execute internal audits, maintain HR system integrity, and handle adverse action notices in full compliance with federal laws such as the Fair Credit Reporting Act (FCRA).

This specialist will also manage continuous driver monitoring and motor vehicle record (MVR) notices, assist with drug and alcohol testing procedures, and offer support to field personnel and operations leadership by resolving issues regarding applicant screening and other compliance matters. The HR Compliance Specialist will work closely with the HR Compliance Manager to support daily functions and participate in special projects as required. This role demands meticulous attention to detail, a deep understanding of compliance and regulatory frameworks, and the ability to work independently as a self-starter.

Job Duties

  • Provide support to HR Compliance Manager with all assigned tasks
  • Assist HR Compliance team with ensuring all employees maintain adherence with client requirements including applicant screening, drug and alcohol program requirements, background screenings, and driver monitoring
  • Provide direct support to Operations leadership and field personnel to maintain compliance with client requirements
  • Execute adverse employment action notices in compliance with FCRA and other legal requirements
  • Assist in the maintenance of employee rosters for drug and alcohol programs and driver monitoring rosters using internal and third-party administrator systems
  • Conduct internal monitoring and auditing of HR compliance programs using system reports
  • Conduct background checks through multiple screening entities, including customer-specific requests
  • Conduct motor vehicle record requests and enter MVR information into HR systems
  • Schedule job applicant screenings such as pre-employment drug and alcohol tests and functional assessments
  • Ensure adherence to record retention requirements
  • Maintain working knowledge of current legislative, regulatory, and client requirements
