The role of History Fair & Special Events Coordinator at Baylor University is integral to furthering the institution’s mission and expanding community engagement through educational programming. The coordinator will be responsible for planning and executing the annual Heart of Texas Regional History Fair (HOTRHF), a significant event that serves as a regional affiliate for the Texas History Day and the National History Day competitions. Established in 1986, the HOTRHF covers a wide 14-county region in Central Texas and is sponsored by Baylor's University Libraries and The Texas Collection. The event, held each February on Baylor’s campus at the Bill Daniel Student Center, attracts students, educators, and history enthusiasts, providing a platform to showcase historical research and foster educational excellence.
In addition to managing the Heart of Texas Regional History Fair, the coordinator will organize special events related to The Texas Collection, University Archives, and the W. R. Poage Library. The position demands proactive engagement, relationship building with faculty, staff, students, board members, and the broader community to ensure the smooth execution and growth of these events. This role is a unique blend of event planning, coordination, outreach, and administrative duties, requiring the individual to serve as the main contact for scheduling, vendor relations, meeting facilitation, and resource management. The coordinator will be instrumental in expanding The Texas Collection’s influence by fostering relationships with local educators and students, amplifying the university’s impact beyond campus boundaries.
This full-time position at Baylor calls for a Bachelor’s degree with at least one year of relevant experience, though candidates with three years of experience and a degree are preferred. Job Duties
- Develop and maintain relationships with Heart of Texas Regional History Fair board members, Baylor faculty, staff, students, and community to ensure appropriate services for events are provided
- Develop and implement special events
- Serve as initial contact for scheduling events and maintain relationships with vendors as needed
- Lead and facilitate meetings to ensure a clear understanding of all event needs
- Organize and gain approval for reservation requests
- Provide recommendations to best meet the needs and expectations of each event
- Coordinate physical setup and tear down of all events both internal and external
- Manage all daily operations pertaining to event planning while staying within budget specifications
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with University policies
- Maintain regular and punctual attendance
