Job Description

The Educational Service Center of Northeast Ohio (ESC NEO) is a distinguished educational service organization dedicated to providing comprehensive support, resources, and services to schools, districts, and educational professionals throughout Northeast Ohio. The role of Guest Services Specialist at ESC NEO is a full-time position spanning 260 days per year, scheduled to begin on August 1, 2026. This position offers a competitive salary ranging from $56,000 to $60,000, commensurate with education and experience. The Guest Services Specialist serves as the welcoming first point of contact for all visitors to the ESC NEO conference center and third-floor reception area. This critical role involves managing the day-to-day operations of the on-site production center while ensuring that guest experience is professional, warm, and efficient. As a front-line representative, the Specialist greets guests, directs visitors to conference rooms, and provides ongoing wayfinding support throughout the day. They are also responsible for backing up the Conference Center Coordinator by providing coverage and assistance as needed.

Beyond guest reception duties, this position requires the Specialist to operate and maintain various production equipment such as high-volume copiers, printers, laminators, binding machines, and cutting tools. The Specialist must accurately receive, review, and fulfill both internal and external print and production job requests, prioritizing these to meet departmental deadlines while maintaining high-quality output. Organizational skills are essential in managing the production job queue and tracking inventory of supplies and consumables, with the responsibility to initiate procurement when necessary. The Specialist will also troubleshoot basic equipment issues, contacting vendor support when required, and maintain a clean and efficient production workspace.

This role demands a proactive, self-directed individual comfortable multitasking across concurrent responsibilities while preserving a calm and composed demeanor. Strong interpersonal and communication skills are necessary to engage professionally with guests, staff, and vendors. Proficiency in standard office and electronic applications including Microsoft Office Suite, Google Suite, and email systems is expected. Experience or aptitude to learn operating office and production equipment is essential, as is discretion in handling sensitive visitor and organizational information. Candidates with backgrounds or experience in customer service, receptionist roles, hospitality, print production, event coordination, or graphic design software are highly desirable. The ideal candidate will be approachable, detail-oriented, and collaborative, contributing positively to the efficient and inviting atmosphere of the ESC NEO environment. This role plays a key part in supporting the mission of the Center by facilitating smooth conference operations and producing essential materials for the organization’s educational programs and events.

Job Duties

  • Serve as the first point of contact for all visitors, training participants, and guests arriving at the ESC NEO first-floor conference center
  • Uphold professional front-of-house standards
  • Greet guests professionally
  • direct them to the appropriate conference room
  • Provide backup support to the Conference Center Coordinator
  • Monitor guest flow throughout the day and provide ongoing wayfinding support
  • Operate and maintain production center equipment, including high-volume copiers/printers, laminators, binding machines, and cutting tools
  • Receive, review, and fulfill internal and external print and production job requests with accuracy and quality
  • Manage the production job queue and prioritize requests to meet departmental deadlines
  • Track inventory of production supplies and consumables
  • initiate procurement requests as needed
  • Troubleshoot basic equipment issues
  • coordinate vendor service calls as needed
  • Maintain a clean, organized, and efficient production workspace
  • Answer and route all incoming phone calls to the appropriate staff or department
  • Provide third-floor reception desk coverage and serve as a resource for general inquiries from staff and visitors
  • Stay informed of trends and best practices regarding hospitality, guest services, and production operations
  • Other duties may be assigned by the Coordinator of Operations
