The Guest Services Manager position plays a critical role in maintaining the highest standards of guest satisfaction by overseeing the Guest Services, Concierge, and Uniformed Services/Transportation departments. This role necessitates attentiveness, friendliness, efficiency, and courteous service delivery to all guests before and throughout their stay. The manager is responsible for maximizing room revenue and occupancy through various operational strategies.
Key responsibilities include responding promptly to guest requests, complaints, or incidents in a professional manner, thereby ensuring guest satisfaction and loyalty. The manager is also tasked with motivating, coaching, and disciplining guest services staff in accordance with Highgate Hotel Standard Operating Procedures (SOPs). They oversee recruitment processes, employee morale development, and training to maintain a productive and cohesive team. They play a significant role in daily operations by reviewing room status, analyzing rate variances, monitoring credit reports, and maintaining an accurate house count. Their participation in rooms merchandising meetings and the manager-on-duty program is essential to hotel performance.
Financial and administrative duties include overseeing payroll compilation, preparing employee schedules based on business forecasts and payroll budgets, ensuring accurate billing, and managing purchase orders and invoices. The manager must maintain communication lines across departments, support accounting with issue resolutions, and ensure proper use of front office systems and PBX consoles.

Job Requirements
- High school diploma or equivalent
- At least 5 years of relevant hotel experience
- Supervisory experience
- Proficient with computer systems and office software
- Valid driver's license
- Ability to work flexible hours including long and light shifts
- Physical ability to exert light to moderate force

Job Qualifications
- At least 5 years of progressive experience in a hotel or related field
- or a 2-year college degree and 3 or more years of related experience
- or a 4-year college degree and at least 1 year of related experience
- Supervisory experience required
- Proficient in Windows, company approved spreadsheets and word processing
- Valid driver's license from the applicable state
- Able to work long and light hours as needed
- Ability to exert up to 20 pounds of force occasionally or 10 pounds frequently
- Maintain a warm and friendly demeanor at all times
- Effective verbal and written communication skills with all levels of employees and guests
- Skilled in listening, understanding and clarifying concerns
- Ability to multitask and prioritize departmental functions
- Attendance and participation in all required meetings and trainings
- Maintain regular attendance per company standards
- High standards of personal appearance and grooming
Job Duties
- Respond to all guests' requests, problems, complaints and/or accidents in an attentive, courteous and efficient manner
- Motivate, coach, counsel and discipline all Guest Services personnel according to Highgate Hotel SOPs
- Carry a cell phone at all times
- Prepare and conduct all Guest Services interviews and follow hiring procedures
- Develop employee morale and ensure training of Guest Services personnel
- Maximize room revenue and occupancy by reviewing status daily and analyzing rate variance
- Attend daily and monthly Rooms Merchandising meetings
- Participate in required M.O.D. program
- Review Guest Services staff's worked hours for payroll and submit to Accounting
- Prepare employee schedules according to business forecast and payroll budget
- Ensure no-show revenue is maximized through accurate billing
- Maintain Highgate Hotel SOPs regarding purchase orders and invoicing
- Ensure timely completion of Wage Progress, Productivity and Ten Day Forecast
- Promote open communication with managers, employees and other departments
- Collaborate with Accounting on follow-up issues
- Operate Front Office computer systems including software maintenance and report generation
- Monitor proper operation of PBX console and enforce SOPs
- Ensure all guests are greeted in accordance with SOPs
- Implement all hotel policies and house rules
- Ensure sign-off of all service standards by position
- Assist in revenue and occupancy forecasting
- Manage logging and delivery of messages, packages, and mail
- Maintain communication with Housekeeping, Reservations and Credit Manager
- Operate radios professionally and enforce radio etiquette
- Coordinate implementation of hotel service philosophy
- Ensure correct cash handling at Front Desk
- Enforce all hotel credit policies
