Job Description

The Henry Vilas Zoo, located in Madison, Wisconsin, is a community-centered, free-admission zoological park dedicated to wildlife conservation, education, and providing a welcoming recreational environment for visitors of all ages. Currently, the zoo is seeking a Guest Services Coordinator to join their team, offering a position that plays a crucial role in enhancing visitor experience and operational excellence. Reporting to the Zoo's General Operations Manager, the Guest Services Coordinator is responsible for cultivating a welcoming and safe environment throughout the zoo grounds. Working primarily Tuesday through Saturday with some evening and weekend duties during zoo after-hours events, this role ensures that visitors receive outstanding customer service while effectively supporting the zoo’s day-to-day functions.

This position is vital in coordinating all onsite zoo events and space rentals, thereby playing an instrumental part in managing event logistics from planning through execution and cleanup. The Guest Services Coordinator acts as a frontline ambassador addressing on-site guest inquiries and concerns, while also overseeing the safe operation of the zoo’s Carousel and Train attractions. Collaboration with the Volunteer Coordinator to maintain adequate volunteer coverage is another key responsibility, enhancing the overall visitor service and event success.

In addition, the role involves administrative duties such as handling onsite donation money with secure procedures, reconciling and setting up deposits, issuing invoices, and compiling detailed reports on membership, donations, and attendance. A data-driven approach informs guest service innovations and improvements to membership programs, enabling the zoo to tailor offerings more effectively to its diverse audience.

This position requires a high level of professionalism, excellent communication skills, multitasking capability, and the ability to work under pressure in both indoor and outdoor environments that may present various weather-related challenges. Job Requirements

  • Ability to assist in emergencies under direction of Duty Manager or Animal Care Manager
  • Availability to work weekdays, weekends, holidays, emergencies, and scheduled events including after hours
  • Valid driver’s license or access to reliable transportation
  • Ability to work indoors and outdoors in all weather
  • Ability to walk, stand and sit for long periods
  • Ability to lift up to 50 pounds unassisted
  • Ability to speak and be heard clearly
  • Ability to maintain confidentiality of privileged information
  • Demonstrated multicultural competence
  • Passing background check as required
  • Ability to use finger, wrist and hand motions effectively

Job Qualifications

  • Bachelor’s degree in business, marketing, customer service or related field or equivalent combination of education, training and experience
  • Minimum two years performing guest relations, event coordination, sales or customer service responsibilities
  • One year of database experience using CRM or POS software
  • Excellent interpersonal, verbal and written communication skills
  • Demonstrated cultural competency and ability to work effectively with diverse multicultural audiences
  • Self-motivated and proactive with strong decision-making and problem-solving skills
  • Ability to promote organization services effectively
  • Detail oriented with ability to proofread and check numerical data accurately
  • Ability to handle stressful guest service situations professionally

Job Duties

  • Assist departmental management with securing onsite donation money and reconciling deposits and invoices
  • Develop and maintain contact with community groups and organizations related to donation opportunities
  • Resolve problems and interact positively with guests, customers, suppliers, volunteers and employees
  • Schedule staffing for Guest Service office and Children’s Zoo attractions including Train and Carousel
  • Lead planning, set-up, execution and breakdown for private events
  • Compile membership, donation and attendance reports
  • Assist with data entry and database management
  • Perform other duties as assigned
