The Front Office Coordinator (First Impression Specialist) at i3 plays a vital role as the friendly, outgoing, and cheerful face of the company. This full-time position requires the individual to champion i3's core values and continue the tradition of extraordinary service by creating a positive first impression for visitors, clients, and team members. Serving as the front desk professional, the coordinator is responsible for greeting and welcoming guests warmly, managing the busy phone system by answering calls and routing them appropriately, and becoming familiar with customers to build a relationship that others look forward to engaging with. This role demands exceptional organizational abilities and the capacity to multitask effectively in a fast-paced office environment.
In addition to phone and visitor management, the Front Office Coordinator assists with various administrative tasks and special projects. Responsibilities include ordering lunches, coordinating mailings, distributing packages, maintaining professional presentation and cleanliness in all common areas such as reception, break rooms, and conference rooms, and tracking meeting and conference room schedules. The coordinator also supports the Human Resources team by processing reimbursements, assisting on special projects and events, and fulfilling any other tasks assigned which may occasionally require a valid driver’s license and reliable personal transportation. This role emphasizes excellent interpersonal skills, reliability, attention to detail, a 'can-do' attitude, and a team-player mindset. The working hours are Monday through Friday, from 8:00 a.m. to 5:00 p.m., with the possibility of additional hours as needed. Regular and punctual attendance is essential to maintaining the smooth operation of the front office.

Job Requirements

- Ability to obtain and maintain a DOD Secret Clearance
- Proficient in Microsoft Office Suite

Job Duties
- Greet guests with a warm, professional demeanor, creating a welcoming front office environment
- Manage visitor sign-in and sign-out processes in accordance with company security procedures, including verifying identification and issuing visitor badges
- Maintain a professional, welcoming appearance of all common areas: reception area, break room, and conference rooms
- Maintain office and break room supplies across multiple facilities
- Organize and track meeting and conference room schedules
- Assist with special projects and events within the Human Resources team
- Process team member reimbursements
- Be assigned tasks that require a valid driver's license and reliable personal transportation
- Other duties as assigned
