We are currently seeking passionate and empathetic professionals to join our Resident Services team as a Resident Services Specialist. This role is vital to maintaining the welcoming and supportive atmosphere that defines our community. The Resident Services Specialist serves as the first point of contact for residents, families, visitors, and staff, ensuring all interactions are handled efficiently and courteously. Responsibilities include managing front desk operations, assisting residents with daily needs such as scheduling appointments and handling mail services, and supporting the administrative functions of the community. Candidates in this role must demonstrate excellent communication skills, multitasking abilities, and a genuine caring attitude toward the senior population.
This position also requires proficiency with multi-line telephone systems, front office procedures, and routine clerical duties, all performed in a fast-paced and dynamic environment. The Outlook at Windhaven values staff who can take initiative and ownership of problems while maintaining a pleasant and compassionate demeanor, even under pressure. With wages commensurate with experience, the offered pay ranges from $17.00 to $17.60 hourly. Job Requirements
- High school graduate or GED
- at least two years experience on PBX or multi-line telephone systems
- prefer front office experience, specifically interaction with customers
- ability to sit for extended periods and stand frequently to direct residents, visitors and staff
- ability to handle intercom system, copier machine and various systems
- ability to communicate verbally and in writing
- ability to multi-task in a fast-paced environment
- ability to maintain pleasant, caring and compassionate demeanor
- ability to read, write and speak English
- ability to perform essential duties
- genuine caring for mature adults, persons with disabilities and hospice patients
- ability to comply with Resident Bill of Rights and Employee Responsibilities

Job Duties
- Model a service attitude towards others
- take ownership in solving problems and take initiative to make things better
- be friendly and courteous to residents, patients and co-workers
- answer phones within 3 rings, take messages and/or direct calls to appropriate party
- greet and direct visitors including family members, vendors, prospective residents and volunteers
- assist residents with various needs such as making change, selling stamps, mailing, and scheduling appointments
- collect resident fees and write receipts
- prepare outgoing mail including first class, return receipt, UPS
- receive and distribute resident and facility mail
- forward appropriate mail such as for deceased residents or residents who have moved
- perform routine clerical duties as assigned by the Business Office Manager/Resident Services Director
- schedule guest cottages and collect appropriate fees
- schedule resident appointments in accordance with established drive schedule and routine
- report all unusual situations to Business Office Manager/Resident Services Director keeping them informed on problems, accidents or special needs
- maintain front office fax machine and copier machine ensuring all supplies are at appropriate stock levels
- distribute faxes promptly to appropriate persons
- perform other duties as assigned by Business Office Manager/Resident Services Director
