We are seeking a proactive and professional Front Desk / Receptionist to be the face of our office and the backbone of our daily operations. Key Responsibilities: - Office Management: Oversee all front desk and administrative functions, ensuring the office is clean, presentable, and well-organized at all times. - Supply Oversight: Monitor and restock office supplies, pantry items, and essential resources to support daily operations. - Facilities Coordination: Schedule and liaise with janitorial and maintenance staff to ensure a safe, clean, and inviting office environment. - Process Organization: Implement and maintain effective organizational systems for document filing and storage (physical or digital). - Customer Service: Serve as the first point of contact for employee inquiries and visitor reception, providing outstanding support with a professional demeanor. - Issue Resolution: Handle office-related issues efficiently, communicating clearly and offering effective solutions. - Service Improvement: Identify and suggest process improvements to enhance the overall office experience. - Vendor Liaison: Coordinate with external vendors to ensure high-quality service delivery and address any service-related issues promptly. - Event Support: Assist in planning and executing internal meetings and events, managing logistics such as catering, AV needs, and room setups. - Meeting Preparation: Prepare spaces and materials for meetings, ensuring everything runs smoothly and professionally. - EHS & Audit Compliance: Support workplace health, safety, and environmental practices. Assist with audits (ISO, SOC, etc.) and ensure compliance with regulations and internal protocols.
