Job Description

NCMS is currently seeking a dedicated Facilities Specialist who will also function as the Front Desk Receptionist, based full-time at their Ann Arbor, Michigan office. This role is critical for maintaining smooth daily operations, overseeing the administrative and operational aspects of facility management, and serving as the welcoming point for all visitors and employees. The Facilities Specialist will work closely with the Vice President of Facilities to ensure that the building environment is well-maintained, secure, and prepared for both daily activities and special events. As the primary receptionist, this role requires strong interpersonal and organizational skills, attention to detail, and the ability to multi-task in a fast-paced, technology-driven environment.

Responsibilities include managing front desk operations, ensuring security protocols during business hours, handling visitor registration, maintaining inventory for office and kitchen supplies, and organizing mail and package distribution. The Facilities Specialist also plays a vital role in event coordination by setting up and breaking down meeting spaces, replenishing supplies for new hires, and keeping common areas clean and orderly through routine inspections. This position demands physical capability for lifting, moving equipment, bending, and climbing ladders as part of general facility support tasks.

Candidates must be US citizens eligible for government security clearance and fully vaccinated against COVID-19 unless exempted by law. Proficiency with Microsoft Office applications and prior customer service experience are essential. The ability to work independently with strong communication and problem-solving skills is crucial for success in this role. Job Requirements

  • Must be a citizen of the United States
  • Must be eligible to obtain a government security clearance
  • Must be fully vaccinated against COVID-19 unless legally exempt
  • Proficiency with Microsoft Office applications
  • Prior customer service experience required
  • Strong verbal and written communication skills
  • Ability to work independently with strong organizational and problem-solving skills
  • Ability to sit for extended periods while working at a desk or computer
  • Ability to lift up to 60 lbs as needed
  • Ability to move up to 100 lbs using rolling event equipment cases
  • Ability to bend, lift, and climb ladders to support facility maintenance activities

Job Duties

  • Remain stationed at the front desk for the majority of the workday
  • Manage front desk operations, serving as the first point of contact for employees, tenants, guests, and vendors
  • Ensure proper security procedures are followed during business hours, including visitor registration and access control
  • Maintain inventory of office supplies, kitchen supplies, and storage areas
  • Maintain the weekly recycling schedule
  • Keep workspaces, common areas, and facility environments clean and organized
  • Set up and break down conference rooms for meetings and events
  • Order and replenish supplies for new hire welcome swag bags
  • Perform routine inspections of restrooms, kitchens, and common areas to ensure cleanliness and functionality
  • Assist with general facility operations and projects as assigned
  • Perform other duties as assigned
