The Front Desk Coordinator is a vital role acting as the first point of contact for clients, visitors, and callers. This customer service-focused position is responsible for creating a positive and professional first impression of our law firm. The coordinator manages the front desk area, handles incoming communication, and ensures smooth day-to-day office operations. The ideal candidate is energetic, well-organized, and capable of juggling multiple tasks simultaneously while maintaining a friendly and approachable demeanor. No prior legal experience is required as we provide comprehensive training to help you succeed in this position. Key responsibilities include greeting clients and guests, managing calls, overseeing mail and deliveries, assisting with check-in and intake processes, maintaining schedules, and supporting administrative staff. This role also involves coordination with building management and adherence to confidentiality and safety protocols. Job Duties

  • Greet and welcome clients, visitors, and vendors as they arrive
  • answer and route incoming calls promptly and professionally
  • manage the front desk lobby area to ensure a clean and organized environment
  • assist clients with check-in procedures and provide necessary intake documents
  • monitor and manage the firm’s general inbox and voicemail messages
  • handle incoming and outgoing mail, deliveries, and courier services
  • maintain and update office calendars and meeting room schedules
  • provide administrative support to legal and administrative staff as needed
  • coordinate with building management for front-office or facility needs
  • uphold confidentiality and professionalism
  • be trained in and manage emergency alert systems
