The role of the Administrative Assistant at The Community Builders is vital in maintaining the high standard of customer service and operational excellence for which the organization is known. This position requires a dedicated individual to provide superior administrative support and direct assistance to residents, guests, and team members at designated property sites. The Administrative Assistant will support the Community and/or Services Maintenance Manager by managing multiple property-related tasks effectively and efficiently. Key responsibilities include handling communications, scheduling appointments, coordinating service requests, managing rental payments, and facilitating community engagement activities. The occupant of this role must ensure compliance with all regulatory requirements while embodying the mission and values of The Community Builders. Notably, the role necessitates a consistent in-office presence five days a week, reflecting the organization’s commitment to face-to-face service and strong tenant relationships. Job Requirements
- High school graduate or GED equivalent
- Customer service or administrative experience in property, hotel, retail, or sales of 1+ year
- Experience and proficiency of Microsoft Office
- Ability to type at least 35 wpm
- Demonstrated ability to learn and operate office systems including telephone, copier and computer systems
- Fluent in Somali, Oromo, or Amharic preferred
- Must be able to work in-office five days a week
Job Qualifications
- High school graduate or GED equivalent
- Customer service or administrative experience in property, hotel, retail, or sales of 1+ year
- Experience and proficiency of Microsoft Office
- Industry software such as Yardi a plus
- Fluent in Somali, Oromo, or Amharic preferred
- Excellent customer service and communication skills in English and Spanish
- Ability to type at least 35 wpm
- Demonstrated ability to learn and operate office systems including telephone, copier and computer systems
Job Duties
- Answer or return all calls promptly and with the highest level of customer service
- Schedule appointments and conduct in-person visits as needed
- Listen to resident requests, concerns and comments, refer them as appropriate
- Develop relationships with residents to understand their needs and aspirations and develop trust
- Initiate Maintenance Service Requests promptly and follow up with residents to ensure completion of service
- Greet prospective tenants and show the property and its features in accordance with established procedures
- Process applications for approval and follow up with applicants
- Pre-qualify prospects in accordance with the company procedures and housing requirements
- Conduct service inspections with the Service Management team to ensure apartments are in move-in condition
- Facilitate and attend community engagement activities with residents, as directed by the Community Manager
- Manage rental payment process
- Prepare recertification and lease renewals, and enter data into tracking system
