The Front Desk Associate position at Avior is vital to the firm's daily operations and overall client experience. This full-time, in-office role, operating Monday through Friday from 8:00 am to 4:30 pm, is designed for a personable and organized individual who will be the first point of contact for clients and visitors. The associate will manage the front desk, reception area, and client meeting rooms, ensuring a welcoming and professional atmosphere. Responsibilities also include handling incoming calls, routing inquiries appropriately, overseeing mail and package distribution, and providing various administrative supports such as managing office events, assisting with travel arrangements, and maintaining inventory of supplies. Job Requirements

- Proven experience as a receptionist or in a customer service role

Job Duties
- Greet and welcome clients in a professional and friendly manner
- Manage incoming calls and direct inquiries to appropriate personnel
- Maintain a tidy and organized reception area
- Distribute mail and packages promptly and accurately
- Manage office events and activities including travel arrangements and hotel reservations
- Prepare conference rooms for all internal, virtual and client meetings
- Maintain inventory and ordering of office and employee supplies
- Restock client and employee refreshment stations
- Assist with document delivery and collection for wealth or tax departments
- Support scanning, categorization, and filing of documentation
- Document client interactions following Salesforce procedures
- Manage in-person or mailed payments and deposits
- Add postage and mail out client documents including tax returns and payroll documents
- Assist with office culture by coordinating cards and staff lunches
- Assist in preparation and distribution of mass communications
- Manage assigned special projects with confidentiality
- Address and resolve front desk operational issues
- Proactively suggest improvements to enhance efficiency
