Job Requirements

  • High School Diploma or equivalent
  • Minimum one year of experience in a similar administrative or front desk role preferred
  • Ability to follow routine verbal and written instructions
  • Knowledge of client records confidentiality and regulations
  • Proficiency in Microsoft Office and other administrative software
  • Strong customer service and communication skills
  • Excellent organizational and multitasking abilities
  • Ability to maintain professionalism and calm in stressful situations
  • Effective problem-solving and decision-making skills
  • Ability to work independently and collaboratively
  • Valid Driver’s License and clean driving record for any required travel
  • Ability to maintain confidentiality and adhere to HIPAA guidelines

Job Duties

  • Greets clients, families, staff, and visitors as they enter the facility
  • Enforces the security and visitation policies by monitoring the traffic flow and ensuring all visitors and clients are signed in
  • Answers all incoming telephone calls pleasantly and in a timely manner, screens and transfers calls, takes messages when necessary
  • Maintains student/client records, promptly and accurately files client documents, and updates storage logs
  • Adheres to HIPAA guidelines with requests for release of client information
  • Maintains company credit card usage logs and prepares required documentation
  • Mails client evaluation reports to parents and physicians within required timeframes
  • Manages correspondence including sorting and distributing mail, email, and faxes
  • Logs daily cash, check, and credit card receipts and maintains special collection logs
  • Manages outlook calendars, schedules appointments, updates attendees
  • Enters student and parent information changes into online databases daily
  • Ensures the front lobby is neat and orderly
  • Organizes programs, events, meetings, or conferences by arranging facilities and catering, coordinating speakers, and managing budgets
  • Provides administrative and programming support to departments and directors
  • Schedules and assists with emergency drills and related documentation
  • Assists with enrollment processes including processing packets, meeting with parents, and verifying information
  • Performs campus errands and courier services
  • Works independently and collaboratively on special projects and companywide events
  • May perform direct care responsibilities and other related duties as assigned
