Visit.org is currently seeking a Freelance Event Specialist based in Fremont, CA, to join their innovative team on a contract, per-event basis. This role is crucial in managing the logistics and execution of engaging, in-person events that combine team building with social good. The freelance Event Specialist will play a vital role in ensuring these events run smoothly from start to finish by coordinating onsite activities, troubleshooting any issues, and representing Visit.org with professionalism and enthusiasm.
This position demands a candidate who thrives in a startup environment—someone entrepreneurial, responsible, and highly motivated to contribute meaningfully to the mission of the company. The ideal candidate has extensive experience in both large-scale corporate events and more intimate executive-level gatherings, alongside a passion for social impact and customer engagement. The specialist will attend virtual planning meetings before events, handle event setup and breakdown, manage guest check-ins, align closely with a variety of stakeholders including nonprofit partners, event hosts, and corporate clients, and ensure an exceptional guest experience throughout.
Success in this role requires a proactive problem-solver capable of thinking on their feet and managing multiple challenges simultaneously. From managing technology glitches to last-minute staffing changes, the Event Specialist must approach each event with discipline, grace under pressure, and a solutions-oriented mindset. Strong interpersonal skills are essential, particularly the ability to build and maintain positive customer relationships and gracefully manage group dynamics during events. Flexibility is key, with availability needed for nights, weekends, and travel within the local region to support a variety of event locations.
Physically, this role includes some manual labor such as lifting up to 30 pounds and standing for extended periods.
