The Food and Beverage Coordinator position at Highgate directly supports the culinary leadership team by managing administrative and operational tasks within the kitchen department. This role reports to the Executive Chef and works in close partnership with both the Executive Chef and Banquet Chef to ensure smooth kitchen operations. Key responsibilities include overseeing department payroll, managing daily office operations, organizing scheduling, and handling Banquet Event Order logistics. The coordinator plays a critical role in maintaining fluid communication between culinary staff and management, facilitating efficient workflows, and ensuring all banquet and culinary events are flawlessly executed. The role typically requires experience in hospitality or luxury kitchen administration, strong organizational skills, and expertise in payroll systems and procurement software, making it integral to the successful functioning of the culinary department. This hourly position demands dedication, accuracy, and a service-oriented approach, with some requirements for physical work and extended hours during peak periods. Job Requirements
- Minimum 1-2 years of administrative experience preferably in hotel or luxury kitchen environment
- Strong proficiency in payroll systems such as ADP or DayForce
- Experience with procurement software
- Excellent organizational skills
- Clear communication skills
- Ability to work long hours when required
- Must be able to lift up to 50 pounds occasionally and 20 pounds frequently
- Effective verbal and written communication skills
- Ability to listen, understand, and clarify employee and guest concerns
- Maintain upbeat, friendly, courteous, and service-oriented demeanor
- Regular attendance according to scheduling needs
- High standards of personal appearance and grooming including wearing nametags
- Compliance with hotel standards and regulations for safety and operational efficiency
- Ability to identify and solve problems proactively
- Capacity to analyze and evaluate complex information from various sources
- Ability to maintain confidentiality
- Willingness to perform other duties as assigned by management

Job Qualifications

Job Duties
- Process and manage weekly payroll for all culinary staff members
- Review, reconcile, and close vendor invoices daily using Birchstreet
- Track department expenses and assist with cost-control data entry
- Manage recurrent order input with vendors for paper goods and Coca-Cola
- Prepare, finalize, and post weekly kitchen staff schedules with executive chef input and Salesforce data
- Maintain and update master culinary vacation and time-off calendar
- Process vacation requests
- Manage requisition process
- Serve as primary contact for culinary staff inquiries
- Direct employee requests or HR questions to appropriate department leaders
- Manage distribution, posting, and updating of Banquet Event Orders
- Attend daily BEO meetings to note menu revisions and headcount changes
- Communicate real-time event updates to Executive Chef and Banquet Chef
