We are currently seeking a dynamic and highly organized Facilities Use & Events Coordinator to join our professional team on a part-time basis. This role is pivotal in leading the planning, coordination, and management of facility usage and special events that elevate our district's presence and contribute to memorable experiences for all participants. The Facilities Use & Events Coordinator will serve as the primary point of contact for facility rentals, ensuring seamless execution of rental agreements, oversight of public events, and promotion through various marketing channels including social media and community outreach. With expected hours ranging from 15 to 20 per week and an hourly wage between $16.90 and $17.90, this position offers an excellent opportunity for someone passionate about hospitality, event coordination, and community service to make a meaningful impact.

In this position, the coordinator will handle diverse responsibilities such as maintaining the district's online presence to engage the community, performing administrative tasks related to facility rentals, and managing on-site event operations. The individual will collaborate with local schools and organizations to recruit volunteers, support marketing initiatives by producing creative content like photos and videos, and ensure compliance with safety and operational guidelines during all events and rentals. This role requires a proactive approach, strong communication skills, and the ability to handle multiple tasks efficiently while upholding the district’s reputation for professionalism and excellence.

Additionally, the Facilities Use & Events Coordinator will assist in designing promotional materials, developing partnerships, and supporting general administrative functions as needed. This multifaceted role demands a person who is customer service oriented, technologically adept with tools such as Microsoft Office and recreation scheduling software, and experienced in event planning or recreation programming. By actively contributing to our event success and facility management, the successful candidate will help foster a connected, thriving community and support the district’s mission of enhancing quality of life through recreation.

Job Requirements

  • Completion of two years of college education with emphasis preferred in event planning, recreation, or related field
  • Work experience in municipal government and/or county level parks and recreation operations
  • Knowledge of Microsoft Office, recreation registration software, and scheduling systems
  • Ability to communicate effectively both verbally and in writing
  • Experience organizing events or working in customer service
  • Ability to compile reports, maintain records, and develop plans
  • Ability to enforce rental agreement rules and regulations diplomatically

Job Qualifications

  • Experience organizing events, working in customer service, or creating social media content in personal, school, or professional settings
  • Knowledge of Microsoft Office, recreation registration software, and scheduling systems
  • Knowledge of special event planning and understanding of recreation programming preferred
  • Experience working in municipal government or county-level parks and recreation operations
  • Ability to communicate effectively both verbally and in writing
  • Ability to compile reports, maintain records, schedule calendars, and develop plans
  • Ability to enforce rules and regulations diplomatically
  • Experience recruiting and managing volunteers
  • Skilled in photography and video editing for marketing purposes

Job Duties

  • Maintain all social media platforms, district websites and online presences for district events, programming, and facilities use
  • Perform administrative tasks for facility rentals including pre-rental walk throughs, completion and execution of facility use contracts, collection of deposits and fees due, and rental check-ins
  • Set-up and tear down of chairs and tables if included in rental agreements
  • Establish effective public relations with pool and rental customers and maintain a professional and courteous work environment
  • Ensure safe and sanitary operation of the rental facilities including custodial duties
  • Plan, coordinate, and lead special events such as seasonal festivals, family programs, fundraisers, and community celebrations
  • Create and manage engaging content for social media platforms including Facebook and Instagram
  • Respond to messages and comments promptly
  • Maintain and monitor the district’s Yelp page including updating business info and responding to reviews
  • Serve as on-site lead during events coordinating volunteers and staff, setting up and taking down materials and troubleshooting in real time
  • Work with local schools and youth organizations to recruit and manage volunteers for events and programs
  • Take and edit photos and videos at events for marketing and promotional materials
  • Maintain event supplies and track spending to stay within budget
  • Prepare post-event reports including financial summaries, attendance metrics, and feedback for the Board of Directors
  • Support flyer design, community outreach, and partnership development to promote district programs and services
  • Assist with general office coverage including answering phones and supporting administrative tasks
  • Organize and direct the work of subordinate employees
  • Communicate effectively both verbally and in writing
  • Compile reports, maintain records, scheduling calendars, and develop plans related to events planning and facilities use
  • Enforce the rental agreement rules and regulations diplomatically
  • Apply knowledge of safety rules and guidelines for safe operation of pool and district facilities
