The position offers flexible employment of 25-38 hours per week, with the schedule varying seasonally based on event demands. Compensation ranges from $22 to $25 per hour, depending on experience, with opportunities for growth as the company expands.

In this role, the Experiential Events & Production Coordinator will play a pivotal role in the end-to-end management of events. Responsibilities include coordinating all aspects of event logistics, crafting detailed production plans, managing budgets and materials, and collaborating closely with vendors, clients, and internal team members to ensure flawless execution. The individual will also work alongside the Operations Assistant to prepare event materials, oversee setup and breakdown, and track inventory and expenses. Attention to detail, strong organizational skills, and the ability to juggle multiple projects are essential to successfully delivering dynamic events that meet company and client expectations.

The job requires a proactive approach to problem-solving and a willingness to contribute wherever needed to support the team. Candidates should be comfortable working some evenings and weekends, as many events take place outside traditional business hours. Physical stamina is also necessary, including the ability to lift up to 40 pounds and travel throughout the Bay Area to various event venues.

Job Duties

  • Plan and coordinate experiential events from start to finish
  • Communicate with clients, venues, vendors, and event partners
  • Create event timelines, production plans, and staffing schedules
  • Cost workshops and events, prepare supply lists, and order materials
  • Work with the Operations Assistant to assemble, pack, and organize event materials
  • Lead event setup, support guest experiences, and oversee event breakdown
  • Track inventory, event expenses, and project details
  • Help improve event systems, workflows, and guest experiences
  • Support business development and special projects as the company grows
