Job Description

Located in the heart of San Francisco, CA, this position offers a unique opportunity within an innovative and dynamic environment, blending high-level executive support with personal assistance. The company operates in a fast-paced sphere that demands exceptional organizational skills, discretion, and a proactive approach to managing the multifaceted needs of a high-net-worth executive. As a distinguished establishment, it is committed to excellence and seeks professionals who thrive in complex, fluid environments where attention to detail and the ability to anticipate needs are paramount.

The role of Executive and Personal Assistant is crafted to stand at the crucial confluence of business and personal life management. This is an extraordinary position that goes beyond traditional executive assistance. It involves overseeing household management, coordinating family logistics, managing health appointments, handling finances, and supporting daily life activities comprehensively. This isn't a mere desk job; it requires a highly proactive individual who can seamlessly anticipate problems and provide solutions even before they arise.

The successful candidate will manage the principal’s residence in the Ritz-Carlton Residences, maintaining relationships with household staff and vendors, ensuring seamless operation of home systems, and keeping the environment guest-ready. They will actively coordinate children's schedules, plan social and family events, enforce dietary preferences, and ensure health-related logistics are followed meticulously.

Travel planning expands beyond booking trips; it encompasses strategic business opportunities, scheduling optimization, and contingency preparations, ensuring every journey integrates both personal and professional goals efficiently. Asset and administrative responsibilities include managing personal assets such as vehicles and insurance, maintaining organized systems both digital and physical, supporting tax readiness, and providing family office coordination covering financial tasks and CPA interactions.

From a business support perspective, the assistant will handle client and investor communications critically, maintaining relationships with CEOs, founders, and investors, and establishing effective communication systems for the client’s fund. Calendar management must be sharp and adaptive, integrating AI-assisted tools, and protecting strategic time blocks while facilitating professional travel, event coordination, and office operations as the team scales.

This position is demanding yet rewarding, necessitating a chief-of-staff mindset with a hospitality-first approach, emotional intelligence, and relentless proactivity. The role is designed for someone who can juggle multiple priorities without letting anything slip through the cracks and possesses the ability to take direct action. The candidate will be embedded in both personal and professional spheres, requiring flexibility beyond standard office hours.

Candidates should bring 5 to 10 years of experience supporting C-level executives or high-net-worth individuals in blended personal and professional roles. Experience in startup or family office environments is highly valued, as is familiarity with various productivity and communication platforms including Google Workspace, Slack, Asana, Notion, and scheduling and travel planning tools.

Compensation ranges from $150,000 to $220,000 base salary, depending on experience and seniority, and the role includes healthcare benefits plus dental and vision coverage, with occasional travel. This comprehensive package underscores the company’s commitment to attracting and retaining top-tier talent ready for a long-term career partnership.
