We are currently seeking a talented and highly organized Executive Assistant to join our dynamic real estate team. This role is crucial as it supports some of North America’s top 1% of real estate professionals, working closely alongside top-producing agents to ensure smooth operations and outstanding client experiences. The Executive Assistant will act as the operational backbone of our high-achieving team, managing administrative and transaction-related responsibilities to allow partner agents to focus fully on client service and business growth. This is a commission-based position, compensating Executive Assistants with 15% of the commission received on transactions they support through closing, which means your earning potential grows alongside our team's increasing production.

Job Duties
- manage real estate transactions from the initial contract through closing
- handle administrative tasks, transaction documents, and compliance requirements
- maintain accurate records and monitor all important deadlines
- organize calendars, appointments, and communications with clients and vendors
- support marketing initiatives and special operational projects as required
- improve processes, systems, and workflows to enhance team efficiency
- serve as a reliable point of contact for clients throughout the transaction process
- collaborate with agents and leadership to deliver a seamless client experience
- manage the team lead’s daily schedule and oversee the team calendar to ensure efficient time allocation
- organize and promptly respond to all correspondence directed to the team lead
- reconcile expenses accurately and prepare detailed expense reports for review
- delegate recurring tasks from the team lead to enable focus on revenue-generating activities
- prepare comprehensive listing presentations and comparative market analyses
- provide support to partner agents throughout the listing and transaction processes, ensuring smooth operations
- coordinate all logistical aspects of listings, including signage, lockboxes, and marketing materials
- utilize real estate licensure and MLS access to perform agent-specific duties
- professionally manage incoming phone calls and welcome visitors to the office
- address client inquiries and resolve complaints with professionalism and efficiency
- receive, sort, and distribute incoming mail promptly
- prepare and execute all marketing mailings in a timely manner
- maintain office supplies, equipment, and software to support daily operations
- participate actively in weekly coaching sessions, team training meetings, and partner calls to foster team development and growth
