The New York State Energy Research and Development Authority (NYSERDA) is a leading organization dedicated to advancing New York's energy transition. NYSERDA is currently seeking an Executive Administrator to provide essential administrative support to the General Counsel, Deputy General Counsels, and the Counsel's Office. This role is vital in managing comprehensive administrative functions that enable the legal team to operate efficiently and effectively. The Executive Administrator will serve as a key liaison across the organization and with equivalent positions within other New York State government bodies, ensuring seamless alignment of schedules and effective communication for meeting coordination. This position requires a detail-oriented professional adept at handling complex administrative tasks such as scheduling, travel arrangements, expense reporting, document processing, logistics, and inter-agency communications.
In addition to supporting the General Counsel and Deputy General Counsels, the Executive Administrator will assist other program counsels with meeting coordination that involves multiple participants or requires technical webinar support. Responsibilities also include recruiting and onboarding new Counsel's Office staff by managing interview schedules, HR liaison duties, onboarding checklists, and new office arrangements in collaboration with Facilities. Furthermore, the Executive Administrator offers administrative support for ethics training for authority-wide staff and Board Members, manages record-keeping, facilitates finance system approvals like outside counsel engagements, assists with budget items, and supports publications and continuing legal education management as needed.
This role also acts as the critical link between the Counsel’s Office and key departments such as Facilities and IT. The Executive Administrator will support Board functions by serving as a secondary resource during busy periods and as a backup during the absence of primary Board support staff. They will also be responsible for reviewing Counsel's Office mail and forwarding items appropriately, providing assistance to other business unit leads, and stepping in as backup executive administrative support for other Officers’ Executive Administrators. This position demands high professionalism, discretion, and a commitment to fairness, consistency, inclusion, and respect across all responsibilities.
The Executive Administrator position is ideal for someone who thrives in fast-paced environments and possesses superior organizational, communication, and interpersonal skills. Proficiency with Microsoft Outlook, Teams, WebEx, Microsoft Office, Adobe, and Concur is essential. The role requires someone who can manage time-sensitive situations calmly and decisively while prioritizing multiple tasks and projects effectively. A minimum of an associate's degree plus five years of relevant experience, including at least one year supporting executive management, is required. Preference will be given to candidates with a bachelor's degree and three years of related experience. Job Duties
- Provide comprehensive administrative support to General Counsel and Deputy General Counsels including scheduling, travel arrangements, expense reports, document processing, logistics, inter-agency communication, and staff meeting support
- Assist program counsels with scheduling complex meetings and webinar technology including IT liaison
- Coordinate travel arrangements and expense reports using Concur
- Support recruiting and onboarding activities including interview scheduling, acting as HR liaison, onboarding checklists, and office preparation
- Provide administrative support for ethics training including scheduling, certificate generation, and tracking
- Assist with records management, finance system approvals, budget and expense management, publications, and continuing legal education
- Act as liaison between Counsel's Office and Facilities, IT departments
- Provide secondary and backup support for Board functions during busy periods or absence of primary support
- Review Counsel's Office mail and route appropriately
- Offer backup EA support for other Officers' Executive Administrators
- Perform other duties assigned by General Counsel
