The Events Specialist role within Experience Tulsa is vital to realizing this vision, as it supports the tactical execution of diverse events that serve the community’s interests and strategic goals. This position involves comprehensive hands-on management of event planning, coordination, and delivery, ensuring that each event meets high standards of quality, engagement, and community impact. The role requires meticulous attention to detail in managing logistics, vendor relationships, and on-site event operations, always aligning with the organization’s mission and values. The Events Specialist partners closely with internal teams and external vendors, coordinating resources and efforts to deliver seamless, meaningful experiences that foster connection and engagement within the Tulsa community.

Job Requirements

  • Bachelor’s degree in event management, hospitality, or related field preferred
  • Minimum 2.5 years of experience in event planning and coordination
  • Exceptional organizational and multitasking abilities

  • Experience in budget management and vendor contract negotiation
  • Strong verbal and written communication skills
  • Proficiency with event management and project software such as Eventbrite and Asana

Job Qualifications

  • Bachelor’s degree in Event Management, Hospitality, or related field preferred
  • 2.5+ years of experience in event planning and coordination for small to large-scale events
  • Exceptional organizational and project management skills
  • Meticulous attention to detail
  • Proven experience in budget management and vendor contract negotiation
  • Masterful verbal and written communication and negotiation skills
  • Proficiency in event management software including Eventbrite, Asana

Job Duties

  • Plan, coordinate, and execute a variety of events including in-person and virtual
  • Develop event concepts, schedules, and logistics plans in line with event objectives and target audiences
  • Work with internal teams to define event needs and secure resources
  • Track event details and manage tasks in Asana
  • Ensure event planning workflows are current and up to date
  • Source, negotiate, and manage relationships with vendors including caterers, AV providers, venues, and rental companies
  • Conduct site visits, manage setup needs, and ensure seamless logistics coordination
  • Support contract negotiations and ensure vendor agreement compliance
  • Collaborate with marketing team to promote events via Slack, newsletters, social media, and email campaigns
  • Manage event registration, attendee communication, and email inquiries
  • Support Slack database management for member event queries
  • Maintain oversight of event budgets by forecasting expenses, tracking costs, and ensuring expenditures stay within budget
  • Support on-site event operations including setup, staffing, logistics, and vendor management
  • Troubleshoot real-time event issues to maintain quality
  • Analyze post-event survey feedback to measure success and identify improvements
  • Prepare post-event reports with attendance, feedback, and financial summaries
  • Perform other duties as assigned
