The Events Planner role at JHIPH plays a crucial part in supporting this mission by conceptualizing, managing, and executing a wide array of events and programs that build community, create identity, and drive forward the agenda of Planetary Health. This position works closely with divisional, departmental, and center leadership, program personnel, faculty, and the Executive Director to design and facilitate dynamic events such as large dinners, symposia, and convenings tailored to various audiences including faculty, students, donors, and external partners. The Events Planner brings expertise in both in-person and virtual event management, coordinating efforts ranging from venue selection and vendor negotiation to the creation of promotional materials and the execution of day-of event operations. Utilizing advanced industry software and digital platforms, the planner ensures seamless event logistics and impactful experiences that emphasize inclusivity and accessibility.
This full-time, exempt position offers a competitive salary range of $46,200 to $80,800 annually, commensurate with experience. Operating on a hybrid schedule from Monday to Friday, 9:00 am to 5:00 pm, the role demands occasional evening, weekend, and travel commitments to support event needs. The Events Planner not only manages the practical elements such as invitations, RSVP tracking, catering, budgets, and vendor partnerships but also contributes strategically to the annual calendar of events, collaborating with marketing and communications teams to maximize outreach and engagement. The role requires a detail-oriented, highly organized professional adept at multitasking and working collaboratively across multiple teams within the School of Public Health. The candidate will also demonstrate an interest or experience in the domains of global environmental change and public health, aligning with Planetary Health initiatives. This position reports directly to the JHIPH Sr. Administrative Manager, playing a vital role in sustaining and growing the community dedicated to confronting the planet’s environmental and health crises through innovative and impactful programming.

Job Requirements
- Bachelor's degree
- Two years of related experience
- Experience coordinating events in higher education or comparable setting
- Ability to work occasional evenings and weekends
- Ability to travel occasionally
- Additional education may substitute for experience as per JHU equivalency formula
- Must include a cover letter describing interest and qualifications
- Occasionally lift and carry objects up to 30 lbs
- Occasionally push and pull objects up to 50 lbs
Job Qualifications
- Bachelor's degree
- Two years of related experience
- Experience in coordinating events in a higher education or comparable setting
- Excellent interpersonal skills including relationship building and stakeholder engagement
- Ability to collaborate with diverse teams including program staff, communications, and leadership
- Experience running complex and large events such as conferences and symposiums preferred
- Certified Meeting Professional (CMP) certification preferred
- Knowledge or interest in global environmental change and public health related to Planetary Health preferred
Job Duties
- Work with divisional/departmental/center leadership to plan and facilitate events on campus and at outside venues
- Develop the theme, style, and language for communications including invitations and event promotion
- Provide information to determine appropriate venue for events
- Work closely on the style, flow, and layout of each event
- Create and maintain project schedules
- Ensure timelines are met, verifying accuracy of invitations, RSVP lists, and programs
- Coordinate all arrangements such as catering, rentals, custodial services, and flowers
- Manage event budgets within fiscal year constraints
- Create event briefings for leadership contacts
- Manage outside contracts with vendors including caterers, florists, printers, and transportation
- Maintain proper inventory of event supplies
- Approve invoices and expenses using Hopkins systems
- Develop an annual calendar of events in collaboration with leadership
- Collaborate with Marketing & Communications on event marketing plans and materials
- Conceptualize events including setting goals, recruiting speakers, and managing guest lists
- Provide day-of support and prepare staff to manage events
- Manage vendor and external organization relationships
- Create inclusive and accessible event experiences
- Prepare reports, briefings, and presentations for dissemination
- Stay current on industry software for event planning
- Train colleagues and stakeholders on digital platforms
- Facilitate virtual events utilizing Teams, Zoom, and IBM Player
- Perform additional duties as assigned
