Job Description

The Savannah College of Art and Design (SCAD) is a premier university committed to preparing talented students for professional artistic careers with an extensive range of degree programs in art, design, and related disciplines. Located in Savannah, Georgia, SCAD is known for its rigorous academic programs and vibrant campus life that fosters creativity, innovation, and community engagement. SCAD actively supports its students through dynamic cultural events, exhibitions, and conferences designed to inspire and connect creative individuals from across the globe. The university’s commitment to excellence extends beyond its academic offerings, emphasizing the importance of comprehensive event planning and management to elevate the experience of its students, faculty, and visitors. SCAD values professionals who are passionate about design and event coordination, especially those eager to contribute to its inspiring and creative environment.

The role of Events Planner at SCAD is a crucial position responsible for the seamless planning, coordination, and execution of a wide array of conferences and community events. This role requires managing multiple projects simultaneously throughout the year across various cities or states, showcasing exceptional organizational skills and dedication to detail. The successful candidate will collaborate closely with the assistant director of events, ensuring clear communication, timely updates, and innovative ideas are incorporated into every event. Responsibilities include conceptualizing unique decor models, maintaining photo archives, and managing supply inventories essential for event success. The planner will lead and attend all pre-event meetings, develop comprehensive project plans, timelines, and budgets, and communicate SCAD's standards and expectations to clients effectively.

Additionally, the Events Planner will oversee marketing and public relations efforts for each event, including coordinating print, visual, social media, and web-related campaigns. This position requires sourcing vendors through requests for proposals, managing quotes and estimates, and ensuring all financial paperwork, such as purchase requisitions and employer classification forms, are completed promptly and accurately. The role also encompasses securing entertainment, handling physical resources like space reservations, housekeeping, grounds, transportation, and security, and working with city departments to ensure compliance with local ordinances, including requesting police presence when required. Other vital duties include managing permits, licenses, volunteer coordination, and hosting responsibilities to provide a welcoming experience for guests.

Ideal candidates thrive in fast-paced environments and possess outstanding communication and organizational capabilities. They must juggle multiple competing priorities efficiently, demonstrate motivational leadership, and maintain a positive, proactive attitude. Interest in current design trends is highly valued, along with the ability to measure and report program outcomes effectively. Time management skills are paramount to succeed in this multifaceted job. This position typically requires working outside regular office hours, including evenings and weekends, to meet event demands. Candidates must hold a bachelor’s degree, have five years of relevant professional experience in event or conference coordination (including virtual events), and be proficient in Microsoft Office.
