The AI Policy Network (AIPN) is a bipartisan, independent 501(c)(4) advocacy organization committed to preparing America for the era of artificial superintelligence. AIPN plays a crucial role in the policy landscape by providing policymakers with technically grounded perspectives on emerging AI capabilities and risks. This dedication ensures that advanced AI systems remain reliable, controllable, and aligned with their intended purposes, safeguarding the nation’s technological future. As a thought leader in AI policy, AIPN hosts a variety of events including Hill briefings, donor gatherings, roundtables, receptions, and policy summits. These events are vital in shaping responsible AI policy and fostering a collaborative environment among stakeholders and policymakers.

The Events Manager at AIPN is an essential role based in Washington, D.C., working in a hybrid capacity with a requirement to be onsite for all events. This position is designed for an experienced professional who will own the logistics and execution of AIPN’s events from start to finish with minimal oversight. Reporting directly to the Executive Director, the Events Manager will collaborate closely with AIPN leadership to set the strategic direction for events, including deciding the types of events to hold, who to invite, and the intended outcomes. This role demands a meticulous organizer adept at managing multiple complex events simultaneously, ensuring each runs flawlessly.

The compensation for this role ranges from $60,000 to $90,000, reflecting the importance and responsibility of the position. The Events Manager will handle all facets of event planning, including venue sourcing, contracts, catering, audiovisual needs, registrations, signage, event materials, and on-site management. Critical to success is the ability to create and maintain detailed timelines, run-of-show documents, staffing plans, and to troubleshoot issues in real time during events. The manager will also coordinate travel, accommodations, and scheduling for speakers, staff, and VIP attendees while responsibly managing event budgets and expenses.

Additionally, the Events Manager will serve as the primary liaison with vendors, venues, contractors, and event attendees, partners, and co-hosts. Collaboration with different AIPN departments such as Government Affairs, Donor Relations, and Communications is necessary to align event branding, invitations, and post-event follow-up efforts. The role also includes forward planning by maintaining an event calendar and a knowledge base of vendors and venues. After each event, the manager will capture attendance, feedback, and measurable outcomes to improve future events continuously.

This position requires someone with 3 to 6+ years of experience managing advocacy, political, nonprofit, or association events, with a proven track record of independently running events from concept to execution. Exceptional organizational skills, a keen eye for detail, and the ability to communicate effectively with high-profile stakeholders are essential. The ideal candidate is comfortable operating in the dynamic Washington, D.C. policy environment and is familiar with tools such as event registration software and CRM platforms. Exposure to AI or national-security policy is a plus.

Job Duties

  • Manage all logistics for AIPN events end-to-end including venue sourcing, contracts, catering, AV, registration, signage, and materials
  • build and run detailed timelines, run-of-show documents, and day-of staffing plans
  • manage on-site execution, troubleshooting in real time so events run smoothly
  • coordinate travel, accommodations, and scheduling for speakers, staff, and VIP attendees
  • own event budgets, track expenses, and reconcile costs against approved spend
  • source, negotiate with, and manage vendors, venues, and contractors
  • serve as the primary point of contact for attendees, partners, and co-hosts before and during events
  • coordinate closely with Government Affairs on Hill briefings and with the Director of Donor Relations on donor and fundraising events
  • work with Communications on event branding, invitations, and post-event follow-up
  • recommend formats, venues, and timing to leadership
  • maintain a forward calendar of AIPN events and a vendor and venue knowledge base
  • capture attendance, feedback, and outcomes after each event and use them to improve the next one
