The Events Management Operations Coordinator, also known as the University Events Manager, is a full-time, salaried staff position (Grade Level 44) with an annual salary range of $44,678 to $71,469. This role is essential for the seamless planning, coordination, and execution of a wide variety of events across campus. Reporting to the Auxiliary Services - University Events department, the Coordinator is based in Lexington, KY and works primarily Monday through Friday from 8:00 a.m. to 5:00 p.m., with occasional evening and weekend hours as event needs arise.

The Events Management Operations Coordinator is responsible for managing a high volume of event reservations and requests through the University's Event Management Software. Working closely with clients, campus partners, and key stakeholders, the Coordinator ensures that the event reservation process is smooth, compliant with University policies, and meets all procedural requirements. A strong emphasis is placed on customer service excellence, with the Coordinator serving as a knowledgeable resource for students, staff, and external event clients. They assist patrons in submitting requests, guide them through procedures, and clarify event policies, procedures, and requirements.

This position requires keen attention to detail and strong organizational skills to manage multiple event requests and deadlines effectively. The Coordinator actively monitors event timelines, logistics, and safety protocols to guarantee the successful execution of events. Additionally, they collaborate with various University departments to identify and resolve conflicts or operational issues, making sure that all events comply with campus policies and safety regulations.

Job Duties

  • process a high volume of event reservations and requests annually using the University’s Event Management Software
  • coordinate the event reservation process by working closely with clients, campus partners, and key stakeholders to facilitate event planning, approvals, and logistics
  • provide exceptional customer service to students, staff, campus partners, and other stakeholders throughout the event planning and reservation process
  • assist patrons with submitting requests for campus spaces and events and provide guidance regarding applicable procedures, requirements, and approvals
  • review event requests and coordinate with appropriate University departments and campus partners to ensure events are properly planned and approved
  • monitor event details, timelines, and requirements to support the safe, efficient, and successful execution of events on campus
  • communicate University event policies, procedures, guidelines, and requirements to clients, campus partners, and other stakeholders
