The Marlene and Stewart Greenebaum Comprehensive Cancer Center (UMGCCC) at the University of Maryland, Baltimore (UMB) School of Medicine is a prestigious institution dedicated to advancing cancer research, treatment, and education. The Events Coordinator or Events Specialist role within UMGCCC is a critical position responsible for the professional and administrative coordination of events and meetings that support the mission and goals of the cancer center. Depending on the incumbent's qualifications, the position offers two levels of responsibility with commensurate salary ranges: Events Coordinator ($51,500 - $57,000) and Events Specialist ($66,000 - $73,000). These roles serve as vital connectors in planning and executing diverse events including conferences, fundraisers, and departmental meetings that further research dissemination, community engagement, and collaboration.
Key responsibilities include managing all logistical aspects of events, such as facility set-up and tear down, seating arrangements, technology coordination, and creating an appropriate atmosphere for guests. The coordinator/specialist develops strategic plans for multiple events, establishes goals, and assists with the creation and implementation of novel programming concepts aimed at enhancing business and community involvement. This position also involves generating contracts and proposals, negotiating terms with vendors and service providers, and handling event budgets to ensure financial compliance. Maintaining accurate records of clients and stakeholders, managing event calendars, and preparing promotional materials are also essential duties.
Additionally, this role offers opportunities for leadership, including supervising staff or volunteers and contributing to recruitment and training efforts to build a motivated and efficient team. - Bachelor’s degree in a relevant field (English, Journalism, Public Relations, Communications) or related field
- Two years of experience in event or meeting management, fundraising or development, public, or client relations
- Related experience may be substituted for education
- Clery Act designated job as campus security authorities (CSA) member and will comply with Clery Act requirements
- Ability to effectively communicate both verbal and written thoughts, ideas, and facts
- Ability to work cooperatively with others and independently

Job Duties
- Provide professional and administrative support to department, campus center, or school events
- Coordinate day-to-day operations of events or meetings for department, school, or campus center
- Responsible for facility logistic aspects of events or meetings, including set-up and tear down, seating arrangements, technical, and atmosphere
- Coordinate strategic planning and assist in goal setting for several events
- Assist in creation of novel approaches to building business such as special events, services or incentives
- Assist in the development and implementation of event concepts and processes
- Generate proposals, contracts and other documents to secure business for all services related to an assigned event(s), such as facility, caterer, printers, or speakers
- Negotiate terms and conditions of contracts with some latitude
- Provides general professional and administrative duties to support events and troubleshoot issues that arise throughout the event
- Assess outcomes and make appropriate recommendations
- Maintain database or other records of clients, potential clients and friends of the University
- Administer budget for assigned events
- Assist in preparation of promotional and informational items
- May supervise staff and/or volunteers and ensure efficient recruitment/interviewing and training
- Maintain UMGCCC online events calendar
- Performs other duties as assigned
