Job Description

The Chattanooga Zoo, operated by Friends of the Zoo, Inc., is a prominent zoological park dedicated to wildlife conservation, education, and offering a unique recreational experience to visitors of all ages. Nestled in the scenic city of Chattanooga, Tennessee, the Zoo showcases a wide variety of animal species while promoting awareness about wildlife preservation and environmental responsibility. We are currently seeking a dynamic and energetic Events Coordinator to join our vibrant team. This role is instrumental in advancing the Zoo's mission by orchestrating a wide range of events designed to engage the community, improve daytime attendance, and elevate public awareness on conservation and environmental issues. Reporting directly to the Director of Events & Experiences, the Events Coordinator will lead the planning, coordination, and on-site execution of diverse Zoo events, including special awareness days and facility rentals. This is a highly interactive position requiring excellent organizational skills, outstanding communication abilities, and the flexibility to work on weekends and non-traditional hours as needed.

The successful candidate will serve as the key liaison among various departments, ensuring seamless collaboration and communication throughout the event lifecycle. Responsibilities encompass coordinating logistics such as accommodations, transportation, catering, entertainment, security, and event signage. Maintaining detailed records of event operations, finances, and post-event evaluations will be critical for ongoing improvement and strategic planning. Additionally, the Events Coordinator will play an active role in securing sponsorships and donations, contributing to the financial sustainability of our programs. The position also demands a hands-on approach for managing event setup, tear down, and inventory control.

Applicants should demonstrate proficiency with Google Suite and Canva, strong multitasking and problem-solving skills, and possess relevant experience in event planning and customer-facing roles. Job Requirements

  • Two years of experience in event planning and execution
  • Two years in customer service or public facing roles
  • Must be proficient in Google Suite and Canva
  • Proven ability to multi-task and problem solve
  • Two years of college coursework in business management, nonprofit administration, hospitality, or guest experiences related field is preferred
  • Any combination of equivalent education and experience to successfully perform the essential functions of the position will be considered
  • Valid driver's license

Job Duties

  • Plan and conduct event planning meetings and communicate event needs to appropriate departments for zoo events, daytime attendance drivers, awareness days and facilities rentals
  • Participate as a member of the Conservation Committee for the planning and execution of safe and awareness days
  • Oversee logistics and execution of special events, awareness days and facilities rentals
  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise
  • Coordinate services for events and facilities rentals, such as accommodation and transportation for participants, facilities, catering, entertainment, signage, displays, special needs requirements, printing, and event security
  • Coordinate the set up and tear down of all equipment and waste from events and rentals
  • Manage all special event supplies
  • Maintain records for all aspects of events, including financial details and conducts post-event evaluations for decisions regarding future performance
  • Solicit donations and sponsorships for special events
