The role of Events Coordinator within the City of Gainesville’s Parks, Recreation and Cultural Affairs Department’s Cultural Operations division is a dynamic and multifaceted position centered on the planning, coordination, and execution of a wide range of cultural arts and community events. This role serves as the lead coordinator for the nationally recognized Downtown Festival & Art Show as well as the city's holiday celebrations, positioning the Events Coordinator as a key figure in ensuring these flagship events are executed flawlessly and provide exceptional experiences for attendees. Beyond these major events, the coordinator provides vital operational support for the Hoggetowne Medieval Faire, gallery receptions, and other culturally significant events that enrich Gainesville’s cultural calendar. Responsibilities include comprehensive event planning activities such as coordinating artists and vendors, managing logistics and volunteer support, administering contracts, overseeing budgets, coordinating marketing efforts, and conducting on-site event operations. This position demands strong collaboration with various stakeholders including city departments, community partners, sponsors, volunteers, artists, performers, and the general public. The goal is to deliver high-quality and impactful events that boost Gainesville’s cultural vitality and enhance visitor experiences. This role requires a thoughtful balance of creativity, organizational skills, and operational expertise to ensure high standards across all events and initiatives. The role also involves community presence through media appearances, presentations to citizen groups, and development of promotional campaigns to raise the profile of city events. The successful candidate will also be responsible for managing grant compliance, coordinating permits, supervising volunteer staff, and maintaining detailed reports and statistical data related to event programs. Job Requirements

  • Valid United States driver license on appointment
  • Valid Florida driver license within 30 days
  • American Red Cross certification or equivalent in CPR, AED, and First Aid upon hire
  • Bachelor’s degree from accredited college or university
  • Two years of event experience including volunteer management
  • Ability to lift, carry, push, or pull up to 50 pounds
  • Ability to attend meetings and events outside regular business hours, including evenings, weekends, and holidays
  • Willingness to work in various outdoor environmental conditions

Job Qualifications

  • Bachelor's degree in public administration, public relations, or related field
  • Two years of progressive event experience including one year managing volunteers
  • Experience in marketing and fund raising
  • Ability to use computer software such as Adobe Photoshop, Microsoft Word, PowerPoint, Access, and Excel
  • Knowledge of public relations principles and municipal community special events
  • Strong communication and interpersonal skills
  • Ability to supervise and coordinate volunteers and staff
