Job Description

We are currently looking for a dedicated Events Coordinator to join the State Chamber of Oklahoma in a full-time, on-site position based in Oklahoma City, OK. This role offers an exciting opportunity for a motivated individual to lead and manage the planning, coordination, and execution of the Chamber's diverse events portfolio. The Events Coordinator will be instrumental in ensuring that all events align with organizational goals, provide value to members, and reinforce the Chamber's brand reputation. The position involves collaborating closely with internal teams such as communications and membership, as well as external vendors, speakers, and venues.

The ideal candidate will have a strong background in event management, project coordination, and excellent communication skills. Responsibilities include developing event timelines and plans, managing event budgets, overseeing vendor contracts, arranging speaker logistics, and ensuring flawless event execution on-site. Beyond logistics, the role also demands creativity in conceptualizing event themes and marketing initiatives to maximize engagement and sponsorship opportunities. Furthermore, the Events Coordinator will play a crucial role in post-event analysis and follow-up tasks, which help to refine future events and strengthen relationships with sponsors and attendees.

This position demands a high level of organization, attention to detail, proactive problem-solving skills, and the ability to multitask in a dynamic environment. The Events Coordinator should be comfortable managing multiple events simultaneously while maintaining a polished and professional interaction with all stakeholders. Job Requirements

  • Bachelor's degree or 4 years equivalent work experience
  • Proven event management experience
  • Ability to multitask and stay organized
  • Excellent verbal and written communication skills
  • Experience in contract negotiation and vendor relations
  • Ability to work onsite in Oklahoma City
  • Willingness to travel and drive as needed
  • Ability to handle multiple tasks professionally

Job Qualifications

Job Duties

  • Develop and maintain an event planning process with timelines and responsibilities
  • Work with management to determine event themes
  • Assist in site selection and recommend venues
  • Maintain master files including budgets and guest lists
  • Ensure brand cohesiveness and visual quality of events
  • Collaborate on marketing strategies including email invites and social media
  • Manage subcontracting for catering, AV, decorations
  • Track and report event expenses
  • Research and book approved speakers
  • Coordinate speaker logistics and communication
  • Keep agendas updated and accurate
  • Prepare event materials like name tags, programs, seating charts
  • Serve as sponsor liaison and manage sponsorship fulfillment
  • Ensure events run on time and address schedule issues
  • Oversee room and furniture setup
  • Prepare staff assignment documents
  • Research event locations for signage and branding
  • Maintain event registrations and information on digital platforms
  • Conduct post-event surveys and compile feedback
  • Send thank you communications to speakers and vendors
  • Create post-event reports and manage event budgets and invoicing
