The position of Events Coordinator at Furman University is a full-time professional role within the Conference and Event Services department. Reporting directly to the Director of Conference and Event Services, this role is pivotal to the successful planning, coordination, and execution of events at the Younts Conference Center and other campus locations, including weddings. The Events Coordinator is responsible not only for sales and event booking but also for managing client relations and ensuring operational excellence.
This role requires an individual skilled in balancing multiple responsibilities such as client support, collaboration with various university departments, and overseeing day-to-day event operations. The candidate must be proficient in client communications and able to manage logistical and technical needs, including in-house technology. The successful candidate will act as a key manager on duty during events, ready to address client concerns promptly while enforcing safety protocols and facility policies.
The Events Coordinator will prepare setup plans, coordinate with vendors and staff, manage contracts, cost estimates, and invoicing, as well as handle payment processing and documentation. The role involves a high degree of organizational proficiency, requiring the ability to multitask and prioritize in a fast-paced environment. Additionally, the coordinator provides consultative services to other university groups planning events outside the department's direct administration, fostering professional relationships across campus.
A critical aspect of the position includes monitoring facility and technical equipment to ensure operational readiness and troubleshooting issues by collaborating with vendors as necessary. The Events Coordinator is also expected to support the ongoing professional development initiatives and participate actively in performance review processes.
This role demands a bachelor's degree and one to three years of experience in a related field, with preference given to candidates with sales and event management experience in the hospitality industry. Superior communication, organizational, and administrative skills, along with computer proficiency in Microsoft Office and Windows environments, are essential. Comfort working independently and as part of a team, with a proactive approach to problem-solving, are critical attributes for success.
Work conditions involve multitasking, technology use and troubleshooting, standing and walking in various event settings, occasional physical exertions, exposure to weather extremes during outdoor events, and working evening or weekend hours as needed. The position is compensated on a salaried basis at a grade 5S level, reflecting the professional nature of the responsibilities and the importance of the role within the university's event service framework.

Job Duties
- Coordinate with university and off-campus clients to determine event space, technical, and logistical needs
- Prepare setup plans for events
- communicate plans and revisions to clients and production staff
- Coordinate with university departments and vendors to secure resources and staff support for events
- Act as manager on duty for Younts Center and other campus events
- Promptly address client concerns during events, utilizing departmental, university and vendor resources as appropriate
- Provide on call support for summer clients during their time on campus
- Communicate and enforce safety and facility policies
- Conduct ongoing review of facility operations to ensure compliance with safety procedures
- Maintain current information on university facilities and vendors for dissemination to potential clients
- Schedule events at the Younts Center and campus wedding venues
- Enter and update client information and event bookings in EBMS and R25
- resolve booking conflicts with other departmental and university events
- Generate contracts, cost estimates and invoices for events
- Receive and process contracts and certificates of insurance
- Receive payments and forward appropriately for processing
- Provide event and incident reports to the Director and, as appropriate, other university departments and external agencies
- Serve as a consultant for university departments and organizations planning events not held in spaces administered by the department
- Develop professional, cooperative relationships with faculty, staff, student and community constituencies
- Monitor equipment conditions and behavior
- troubleshoot equipment and, when necessary, refer to appropriate departments/vendors for resolution
- Communicate openly and effectively with and recognize the contributions of supervisors and co-workers
