The role of Events and Venue Manager at All Classical Radio is a dynamic, multifaceted position crucial to the management and growth of the station’s state-of-the-art facilities - the Irving Levin Performance Hall and the James DePreist Recording Studio located in the KOIN Tower in downtown Portland. This position demands a results-oriented professional who will oversee the full lifecycle of studio and hall rentals, venue usage, and a variety of station events. Acting as the point person for partnerships, rentals, and vendor relationships, the Manager plays a key role in delivering excellent service, facilitating smooth event operations, and maximizing revenue opportunities.
The Events and Venue Manager is responsible for promoting venue rentals, handling inquiries, scheduling and contracting, logistical planning, coordinating personnel, executing events, and conducting follow-up communications and evaluations. The role also involves managing a roster of contractors, including audio engineers, videographers, and venue assistants. The Manager must have excellent communication and customer service skills, a highly organized approach, and the entrepreneurial spirit to thrive in a fast-paced environment. Collaboration with management and marketing teams is essential to envision and launch new promotional initiatives that increase venue use and community impact.
Typical events managed through this role encompass a wide range of cultural and educational activities such as musical performances, recording sessions, live broadcasts, workshops, dinner and networking events, as well as theater and dance rehearsals or performances. The work schedule is flexible to accommodate daytime, evening, and weekend hours, reflecting the event-driven nature of the position.
Key responsibilities include managing event documentation and rental policies, serving as liaison between renters and All Classical Radio, overseeing event and studio calendars, coordinating with marketing for promotional efforts, and managing facility logistics with building management. This full-time, in-office position offers a competitive hourly wage ranging from $27.80 to $32.69 per hour, dependent on qualifications and experience. - Ability to work with diverse constituencies
- Knowledge of WordPress, photography, and still/video editing are a plus

- Readily build and maintain positive relationships with sponsors and colleagues
- Skillful tech problem-solving abilities and an aptitude for mastering new technologies
- College degree, minimum two (2) years of customer service, and work experience in management or event planning preferred
- Experience with Perfect Venue or similar event management CRM/software preferred
- Experience with Adobe Creative Cloud Tools, Canva, or similar preferred
- Background in music and music recording is a plus

Job Duties
- Manage all events taking place in All Classical Radio's performance hall, recording studios, and related spaces including station-hosted, partnership, and rental agreements
- Maintain policies, procedures, and documentation for events including rates and rental records
- Serve as liaison between renters or partners and All Classical Radio, coordinating logistics including equipment needs, staffing/contractor needs, participant or guest communications including parking and travel
- Oversee event rental CRM including task assignment to relevant staff as needed
- Oversee hall and studio calendars including CRM calendar, internal facility calendars, external listings, and coordination with Cultural Events calendar
- Collaborate with marketing team to promote venue, rental and recording opportunities, partnerships, and other event and venue-related content
- Communicate with building management regarding event needs including but not limited to loading dock, parking garage, HVAC accommodations, additional space usage
- Ensure hall, studio, and green room setup and clean-up meets renter/partner requests and requirements
- Function as primary on-site staff member during events or ensure appropriate coverage and staffing if not present
- Schedule/supervise additional event team members as needed including audio engineers, contractors, colleagues, or volunteers, in collaboration with management, engineering, and volunteer coordinator
- If applicable, oversee and monitor live stream content, uploads, tagging, and promotion
- Maintain working knowledge of key technology (computers, audio/video software) to enable troubleshooting in real time for issues not requiring engineering expertise
- Ensure cleanliness, organization, and functionality of hall, studios, storage rooms, green room, and related spaces
- Support engineering department in routine inventory of hall and studio including furniture/accessories and audio equipment
- Assist engineering with technical troubleshooting of equipment, including cameras, lights, and audio, for recording, live streaming, and other equipment
- Prepare, maintain, and set necessary event signage
- Oversee weekly Thursdays @ Three live concert broadcast logistics including: ticketing and audience communication management
