Kleinhans Music Hall (KMH) is a historic and prestigious performing arts venue located in Buffalo, NY. The Events and Operations Coordinator at Kleinhans Music Hall plays a pivotal role in supporting the day-to-day functions and event management at the venue. This position requires a highly organized and detail-oriented individual who thrives in a fast-paced and demanding environment. The coordinator is responsible for overseeing logistics, scheduling, and communication between various departments and external personnel to ensure that all events run smoothly and successfully.
The role involves managing the Kleinhans Management office's daily operations, which includes participating in staff and production meetings, processing invoices and check requests, ordering supplies, updating concert information, and maintaining comprehensive event data. Additionally, the coordinator handles scheduling for a wide range of personnel including ushers, stagehands, engineers, and outside vendors such as EMTs and security personnel.
With a focus on collaborative teamwork, the Events and Operations Coordinator assists in rental contract execution, client communications, day-of event logistics, and troubleshooting. The coordinator acts as a vital link between front-of-house and backstage operations during concerts, manages merchandise sales, and supports the General Manager during major events. This position also involves attention to the artist experience by executing rider requirements including hospitality, catering, and travel arrangements.
Flexibility is essential as the coordinator may be required to serve as the Manager on Duty in the absence of key leadership personnel, oversee post-event tear down, manage lost and found, and support event settlement processes. Working nights and weekends is a regular requirement due to the scheduling of performances and events.
The ideal candidate possesses an associate degree or higher, has excellent communication skills, and demonstrates strong proficiency in Microsoft Office applications and office management software. Prior experience in a performing arts venue or related field is preferred. A valid New York State Driver's License and access to reliable transportation are necessary for running errands and coordinating travel.

Job Requirements
- Associate degree or higher
- Prior experience within a performing arts venue or related field preferred
- Valid New York State Driver License
- Access to reliable transportation
- Availability to work days, evenings, and weekends
- Ability to handle multiple tasks with accuracy
- Strong communication skills
- Ability to stand, walk, reach, talk, hear, handle objects, and lift up to 50 pounds
- Proficiency with Windows and Mac operating systems and Microsoft Office applications
- Ability to commute to Buffalo, NY 14201

Job Qualifications
- Associate degree or higher
- Prior experience in a performing arts venue or with music, theater, or dance organizations preferred
- Strong proficiency with Microsoft Office including Word, Excel, Outlook, and other Office 365 applications such as OneDrive, SharePoint, and Teams
- Exceptional written and verbal communication skills

Job Duties
- Manage the day-to-day logistics of the Kleinhans Management office including participating in monthly staff and production meetings
- Process department invoices and check requests and communicate with accounting staff
- Order supplies for janitorial, office, and usher departments
- Update Buffalo Philharmonic Orchestra concert information sheets
- Assist with Kleinhans calendar management
- Maintain and track all event data and report monthly
- Complete schedules for KMH personnel including parking, concessions, event setup crew, stagehands, engineers, ushers, and front of house staff
- Schedule outside personnel such as EMT, traffic police, cleaning, and security
- Post schedules and concert sheets for staff review
- Execute and process rental contracts ensuring all paperwork is received for timely payment
- Assist in event planning and day-of coordination including client communication and troubleshooting
- Act as liaison between front-of-house and backstage during concerts
- Coordinate merchandise sales including setup, sellers, and settlement
- Provide support to General Manager during large events
- Execute artist rider requirements including hospitality, catering, and travel arrangements
- Serve as Manager on Duty as needed or in leadership absence
- Assist in post-event tear down including hospitality, merchandise, settlements, and resetting the facility
- Manage Lost and Found inventory and communicate with patrons about lost items
- Perform other duties as assigned
