The Event and Group Services Coordinator role at Four Seasons Hotel Minneapolis is geared toward individuals passionate about event planning and hospitality. This position involves supporting the Event Sales and Conference Services Managers and Director by managing various administrative tasks integral to the catering and event planning process. The role plays a vital part in assuring seamless coordination for social events, small conferences, room-block groups, and certain entertainment groups, working closely across departments to align logistics, technical equipment, and food and beverage services.

This position demands exceptional organizational skills and attention to detail, as the coordinator is responsible for maintaining comprehensive records, assisting clients throughout the planning stages, and ensuring all client requirements are met flawlessly. Additionally, the role occasionally assists with front-of-house operations, including guest greetings, hospitality desk management, and collaboration with banquets on rapid event setups or teardowns. Inventory management of standard department supplies and materials such as catering packets and menu cards also falls under this role’s purview.

Job Duties

  • Assist in the organization of social events and act as a liaison with the hotel’s department and division heads in planning internal Four Seasons meetings
  • Responsible for overseeing the seamless execution of small conferences, rooms-only group blocks, and select entertainment groups within the hotel
  • Coordinate logistics and ensure all client needs are met
  • Collaborate with all departments to arrange meeting spaces, audiovisual equipment, food and beverage services, and provide exceptional customer service
  • Provide personalized support to clients and maintain detailed records
  • Assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with banquets on quick sets or teardowns
  • Maintain an inventory of all standard department supplies and printed materials
  • Create purchasing orders for the department
  • Comply with Four Seasons standards for sales and marketing, working harmoniously with co-workers and planning committees
  • Adhere to Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact
