MAKE Projects is a unique social enterprise restaurant and urban farm located in San Diego, California. The organization provides an inclusive platform for individuals, particularly low-income refugee and immigrant women and youth, to gain tangible social, communication, and job readiness skills through hands-on work experience. The establishment runs both an urban farm and a café where participants can engage in paid, real-world work. MAKE Projects is currently seeking a dedicated and detail-oriented Events & Catering Coordinator (ECC) to join their team. This is a full-time position based at the MAKE Café located at 4712 Felton Street, San Diego, operating from Wednesday through Sunday, 7:30 am to 4:00 pm. The role offers a competitive wage of $21 per hour, inclusive of tips earned during café and event service shifts.
As the ECC, you will be entrusted with the vital responsibility of managing MAKE’s private dining reservations, group events, catering sales, and special community-driven events. Your role will serve as the linchpin in orchestrating seamless event logistics from the initial customer inquiry through to successful event execution. The position not only demands strong organizational and communication skills but also the ability to blend hospitality with light marketing and community relations.
Your responsibilities will include direct client communication for private event planning, managing contracts, deposits, and invoicing, and coordinating with kitchen and service staff to ensure that every event runs smoothly. In addition, you will oversee MAKE’s signature special events such as monthly themed pop-up dinners, workshops, holiday sales, and collaborative gatherings with community partners. This aspect of the role emphasizes event management, promotional strategy, community engagement, and business development.
The ECC will play an active role in marketing MAKE’s event and catering services, utilizing social media, outreach efforts, and partnerships with local businesses and wedding planners. Your goal will be to maintain a robust event calendar that maximizes revenue opportunities while fostering positive guest experiences.
Furthermore, this position also offers a leadership component where you will backfill as a front-of-house trainer and supervisor for the café’s operations, as well as train and mentor program assistants and trainees. Job Requirements
- High school diploma or equivalent
- 1-2+ years of relevant experience in events, catering, hospitality, or restaurant management preferred
- Excellent communication skills
- Strong organizational skills
- Ability to multitask and manage multiple projects simultaneously
- Flexibility to work evenings, weekends, and holidays
- Reliable and punctual
- Ability to work effectively in a team environment
- Basic computer skills including use of email and scheduling software
- Valid ID and legal authorization to work in the United States
Job Qualifications
- 1-2+ years of experience in events, catering, hospitality, or restaurant management preferred
- Excellent written and verbal communication skills
- Strong organizational skills and ability to manage multiple events simultaneously
- Excellent photographic skills and strong visual eye a plus
- Ability to stay calm and solve problems under pressure during live events
- Flexible availability including evenings, weekends, and some holidays
- Positive, guest-first attitude and a growth mindset
- Experience with contract management and event coordination
- Ability to build and maintain professional relationships with clients and vendors
Job Duties
- Respond promptly and professionally to event and catering inquiries
- Guide clients through menu selection, guest counts, room layouts, and event timelines
- Draft and manage contracts, deposits, and final invoicing
- Conduct site visits and walkthroughs with prospective clients
- Manage, coordinate and oversee with café team to offer the café space for after-hour private event usage
- Coordinate closely with kitchen and service staff to ensure smooth execution
- Manage vendor relationships, as needed
- Be present for events to oversee setup, troubleshoot issues, and ensure guest satisfaction
- Maintain an organized events calendar and prevent scheduling conflicts
- Work with the team and partners to design, develop, promote and successfully execute MAKE special events such as monthly themed dinners and workshops
- Represent MAKE Projects at community outreach and promotional events
- Promote MAKE events and catering on social media and the restaurant's website
- Create and update marketing materials such as menus, proposals, and event packages
- Build relationships with local businesses, wedding planners, and corporate contacts to generate leads
- Photograph events for use in future promotional content
- Send follow-up communications and seasonal offers to past clients to encourage repeat bookings
- Track inquiry sources and conversion rates to identify effective strategies
- Backfill for the Café FOH trainer and oversee café front of house operation as a back-up supervisor
- Train, coach and mentor program assistants and trainees in special event operations
- Support other MAKE program activities as needed
