Job Description
South Suburban Parks and Recreation is a well-established public agency dedicated to promoting healthy living and environmental stewardship through its diverse recreational services and programs. Serving residents in Bow Mar, Columbine Valley, Centennial west of I-25, Littleton, Lone Tree, Sheridan, and parts of Douglas, Jefferson, and Arapahoe counties, the organization manages a comprehensive array of facilities and amenities. These include four full-service recreation centers, golf courses, outdoor swimming pools, restaurants, two ice centers, miniature golf courses, a botanical garden event center, a BMX track, a sports dome, batting cages, an entertainment center, a hotel, and a nature center. Additionally, South Suburban maintains nearly 3,800 acres of developed and open space lands, comprising 119 multi-purpose athletic fields, over 100 parks, almost 80 miles of trails, 60 playgrounds, 56 tennis courts, and the expansive 880-acre South Platte Park.
The Event Venue Representative position at Hudson Gardens, operating under the auspices of South Suburban Parks and Recreation, is a part-time role designed to ensure the smooth execution of private events at the botanical garden event center. The job requires a professional who acts as the on-site representative for Hudson Gardens during various private functions, including weddings, corporate events, celebrations of life, birthdays, anniversaries, and other social gatherings. Working under the supervision of the Event Venue Sales Manager, the representative's primary responsibilities include supporting clients, guests, catering, and vendors, enforcing venue policies, and upholding the high standards of hospitality and customer service that South Suburban and Hudson Gardens are known for.
This role involves approximately 6 to 30 hours of work weekly, with schedules that vary throughout the year. Flexibility is essential as working hours often include evenings, weekends, and holidays. It is not an event planning position but rather focuses on ensuring that events proceed as intended by coordinating logistics, addressing any issues that arise during events, and managing post-event clean-up and restoration.
The Event Venue Representative acts as a critical liaison between the venue and all stakeholders involved in private functions. Duties include opening and closing the venue, greeting and directing vendors, ensuring compliance with venue policies, monitoring event timelines, and handling safety concerns, including responding to emergencies and administering basic first aid. The position demands excellent communication skills, the ability to use event management software and technology such as iPads for checklists and reporting, and competent use of digital communication platforms.
Physical demands of the job require stamina to stand, walk, and lift up to 50 pounds regularly, with occasional lifting of heavier items with assistance. The environment is moderately noisy, typical of event venues, and the role requires the ability to safely operate motor vehicles or golf carts when needed. This position emphasizes teamwork, reliability, and a welcoming attitude to create an atmosphere of hospitality for guests.

Job Requirements
- Must be at least 18 years of age
- Minimum of 1 year of client service experience
- Must possess valid Colorado Driver License or obtain upon hire
- Maintain acceptable driving record
- Availability to work flexible hours including evenings, weekends, and holidays
- Ability to stand and walk for extended periods
- Ability to lift up to 50 pounds regularly, occasionally 100 pounds with assistance
- Must be able to safely operate a motor vehicle or golf cart
- Ability to communicate effectively in person, over telephone and email
Job Qualifications
- Must be at least 18 years of age
- Minimum of 1 year of client service experience
- Previous party host or hospitality experience preferred
- Availability to work flexible hours including evenings, weekends, and holidays required
- Ability to effectively use an iPad and event management software such as Cognito
- Ability to communicate professionally through digital platforms and complete electronic reports accurately and on time
Job Duties
- Serve as Hudson Gardens representative for private events including weddings, celebrations of life, corporate functions, birthdays, anniversaries, and other gatherings
- Ensure events run smoothly by supporting clients, guests, catering and vendors
- Enforce venue policies and uphold hospitality and customer service standards
- Open and close venues per event guidelines
- Greet and direct vendors ensuring compliance with policies and procedures
- Communicate accurate information to vendors, attendees, patrons and staff
- Ensure fulfillment of all contractual obligations
- Create an atmosphere of hospitality through courteous and patient service
- Monitor event timelines and adherence to schedules
- Oversee post-event procedures including vendor cleanup, breakdown of tables and chairs, trash removal, and restoration of event spaces
- Work collaboratively with co-workers, vendors, employees, and guests
- Monitor safety and respond to emergencies including basic first aid and accident reporting
- Respond to public inquiries courteously and resolve complaints efficiently
- Identify and report facility hazards or issues
- Submit nightly reports for each event
- Attend staff meetings, trainings, and orientations
- Develop thorough understanding of venues, policies, and event offerings
- Maintain regular attendance, reliability and punctuality
- Substitute for co-workers as available
