The role of Event Specialist at Event Lab is a vital and multidimensional position where expertise in event planning intersects with practical execution and client engagement. This salaried, full-time role requires a minimum of 40 hours a week, encompassing work at the office located in Eden Prairie, Minnesota, on-site event engagements primarily within the Twin Cities, and flexibility for two work-from-home days monthly. An Event Specialist is tasked with combining multiple facets of event execution, including selling and managing rental inventory, planning corporate travel, organizing transportation logistics, and sourcing various essential services. The role focuses heavily on client interaction and sales, necessitating strong communication skills to consult with clients, understand their unique event needs, and present tailored proposals. The specialist is responsible for developing detailed event quotes, designing mood boards that embody clients’ visions, and ensuring contract sales align with budgetary goals and targeted profit margins.
Beyond sales, the Event Specialist must diligently coordinate event logistics, confirming final details such as item counts, event schedules, and set-up requirements while acting as the primary point of contact for clients after securing the contract. Task delegation to project managers is also a core responsibility, particularly for larger or more complex events. Professionally representing Event Lab during on-site execution, overseeing event installations, and providing ongoing support are critical to maintaining the company’s high standards.
This position is designed for someone with at least three years of industry experience who thrives in a creative environment, demonstrates strong organizational aptitude, and possesses proficiency in corporate travel event management and client relations. Familiarity with Good Shuffle software is preferred, along with active engagement in the Twin Cities event industry. Job Requirements
- Minimum of 3 years experience in the events industry
- Proficiency in corporate travel event management
- Prior sales experience

Job Duties
- Lead event consultations directly with clients to learn about their event needs and how Event Lab can provide DMC work / décor / rentals for their event
- Respond to initial client inquiries in a prompt, professional manner to secure an opportunity to present a proposal / potential sale
- Build comprehensive quotes of items requested and available for the client’s event
- Guide clients through the Event Lab process of reserving their items and confirming their order prior to the event
- Design mood boards with the client’s vision and assist in securing the sale of the contract, as needed
- Event budgeting, ensuring your events are hitting the targeted margins
- Confirm the event order details including final item(s) counts, event times, available set and strike times, etc.
- Collect logistical details, including but not limited to, load in/out times, diagrams, venue and planner contacts
- Be a point of contact for clients after the sale has been made
- Delegate tasks and projects to Project Manager(s) as needed based on project size and scope
- Build relationships with constituents in the Twin Cities Events Industry that will ultimately garner revenue for Event Lab
- Utilize relationships to build and maintain clients, establish accounts
- Attend networking events to maintain a consistent presence in the industry and allow for professional growth
- Assist the team with event installs including weddings, social events, corporate events, etc.
- Being the voice/image of the company when on-site – must have a sense of professionalism
- Additional duties and educational opportunities, as assigned
