This position is based at the Grand Bohemian Lodge located in the heart of Downtown Greenville, South Carolina. Perched on the falls of the scenic Reedy River, this AAA Four Diamond boutique lodge offers guests an intimate way to experience the area's natural beauty. The lodge features stunning floor-to-ceiling windows, earth-inspired design elements in its chandeliers and wine room, and comfortable balconies with majestic accents. Guests can relax at the outdoor bar and restaurant, Between the Trees, enjoy Greenville's natural scenery from the event lawn, or take advantage of amenities like the onsite spa, art gallery, fitness center, and hiking trails. The Events Services Manager plays a crucial role in servicing a wide variety of events held at the lodge, including room blocks, social gatherings, weddings, and corporate events. This full-time role demands expertise in event planning and impeccable attention to detail to ensure the smooth execution of events aligned with Kessler Hospitality's commitment to unparalleled service. Working in a fast-paced luxury environment, the Events Services Manager acts as the key liaison between clients and the hotel's operational departments. Responsibilities include managing detailed event orders, coordinating room blocks, food and beverage requirements, meeting setups, billing, and addressing other client needs while maintaining high standards of service delivery. The manager is responsible for enforcing contractual agreements, managing billing and payments, and collaborating with culinary operations to create tailored menus.
Additional responsibilities include maintaining accurate and organized documentation, facilitating meetings related to event orders, conducting site visits and pre- and post-event meetings, and serving as the on-site client contact during events. This role also involves maximizing revenue through upselling hotel amenities such as the restaurant, spa, gallery, and outlets, working with vendors to ensure client satisfaction, and generating follow-up thank-you notes and service evaluations. The Events Services Manager is expected to have advanced communication skills, the ability to prioritize and organize work effectively under pressure, and knowledge of event management systems including CI/TY, Delphi, and sales platforms. Strategic leadership skills, the ability to cultivate team engagement, and execution of well-planned business initiatives are essential attributes. Flexibility with working hours including evenings, weekends, and holidays is also required given the nature of events. Job Requirements
- High school diploma or equivalent
- Minimum of 2 years experience in event management within a hotel setting
- Ability to work flexible hours including evenings, weekends, and holidays
- Strong organizational and communication skills
- Proficiency in event management software such as Delphi or CI/TY
- Knowledge of food and beverage operations and health and safety regulations
- Ability to handle multiple tasks in a fast-paced environment
- Excellent interpersonal and problem-solving skills
- Attention to detail and ability to prioritize tasks
Job Qualifications
- Minimum of 2 years of progressive experience in event management within a hotel setting
- Previous experience in a luxury hotel environment preferred
- Bachelor’s degree in Hotel Management, Event Management, or related field is a plus
- Certified Meeting Professional (CMP) certification is a plus
- Strong proficiency in Windows, Microsoft Office Suite, and sales software including Salesforce, Delphi, and SocialTables
- Knowledge of food and beverage service, health department regulations, and liquor laws
- Excellent communication, organizational, and problem-solving skills
- Ability to multitask and perform effectively in a fast-paced, high-pressure environment
- A proactive and detail-oriented approach to event planning and execution
- Availability to work flexible hours including evenings, weekends, and holidays
Job Duties
- Create detailed event orders to meet the specifications of the client
- manage room blocks, food and beverage requirements, meeting room setups, billing, and other additional needs of the client
- Communicate and enforce contractual agreements to the client pertaining to meeting space, food and beverage, and special concessions
- Ensure that all guest checks, payments, master folios and advanced deposits are submitted to accounting
- ensures that any other information, which is necessary and/or helpful for successful catering or group business is submitted to appropriate departments
- Collaborate with culinary operations to assist in development, design, and implementation of custom menus
- Maintain proper documentation of events, changes and special requests with updated banquet event orders, group resumes and rooming lists
- Organize and conduct site visits, pre-planning visits, pre-con and post-con meetings
- Function as the on-site contact to client and address challenges or concerns immediately
- Maximize revenue by selling all facets of the hotel including restaurant, spa, gallery, and outlets for upselling
- Generate thank you notes and service evaluations for all groups
- Competently utilize required systems and platforms to effectively detail and track the progress of groups
- Maintain accurate, organized and up-to-date files including computer filing and sales platform records
- Actively participate in sales and catering conference calls
- Complete required reporting and documentation
- Work strategically to devise plans aligned with organizational goals
- Build team loyalty and facilitate effective meetings
- Provide a culture of accountability and ensure high performance
- Prioritize and organize work assignments in stressful, high-pressure situations
