This role is an entry-level position crucial to the logistical support of event planning and execution within the convention center. As an Event Services Coordinator, you will be instrumental in facilitating communication between clients and internal departments, coordinating room setups, and managing the daily operational needs of small to mid-sized meetings. Reporting directly to the Director of Events, the Event Services Coordinator will play a key role in the smooth operational running of events from the initial planning stages through to their final execution. Key responsibilities will include coordinating logistical requirements, maintaining event documentation and records, educating clients on facility policies, and ensuring compliance with safety regulations. Job Requirements
- Ability to work a flexible schedule including early mornings, days, evenings, weekends, holidays, extended workdays
- Knowledge of event management operational characteristics and customer service practices
- Familiarity with venue event methods and equipment
- Basic mathematical skills
- Basic computer proficiency including Microsoft Office
- Familiarity with contract terminology
- Knowledge of entertainment and convention terminology
- Ability to follow written and oral directions with minimal supervision
- Highly motivated, self-directed, personable, and positive
- Detail oriented and able to perform independently
- Ability to multitask and prioritize work
- Ability to maintain effective working relationships
Job Qualifications
- Degree from an institution of higher education preferred
- Previous experience in guest services or hospitality required
- Experience with event management in a public assembly facility, convention center, arena, hotel, or similar venue preferred
- Experience with tradeshow and consumer show exhibitor services preferred
- Excellent organizational and planning skills
- Strong written and oral communication abilities
- Ability to work under pressure and meet deadlines
- Professional presentation and work ethic
- Ability to work effectively in a team-oriented environment
Job Duties
- Perform administrative tasks such as preparing reports, drafting correspondence, and maintaining records
- Maintain and update internal tracking systems and event data
- Coordinate fire marshal floor plan approvals and communicate event requirements to internal departments
- Manage daily event sheets and assist with payment processing
- Assist with planning and executing assigned events from pre-planning through completion
- Serve as liaison between clients, vendors, and internal departments
- Support clients in staffing, room setups, and equipment needs
- Monitor event spaces to ensure compliance with approved diagrams
- Educate clients on facility policies and safety regulations
- Prepare and distribute event resumes, diagrams, estimates, and invoices
- Maintain accurate event records and assist with billing reconciliation
- Provide client-focused customer service
- Attend operational and event planning meetings
- Serve as onsite contact for assigned events
- Act as Manager on Duty for selected events
- Perform other duties to support departmental goals
