The Event Services Coordinator at Legends Global-Albany Capital Center plays a vital role in delivering professional client support in the planning, organization, and management of events within the facility. Offering an annual salary of $62,500, this position is full-time with normal office hours from Monday to Friday, 9:00 am to 5:00 pm, while requiring flexibility to work long and irregular hours, including evenings, weekends, and holidays depending on event schedules. The coordinator oversees all aspects of facility operations related to events, ensuring that each detail is carefully managed from the initial booking through to the conclusion of the event.

In this position, the coordinator acts as the primary liaison between clients and various facility departments to ensure smooth execution and client satisfaction. The role includes meeting with clients to plan and organize assigned meetings or events, coordinating with service contractors, interpreting contract provisions, explaining policies and procedures, and maintaining clear and timely communication regarding deadlines and specifications. The coordinator monitors in-house events, maintaining close contact with both clients and staff to promptly address any requests, concerns, or problems that arise during the events.

Additionally, the Event Services Coordinator contributes to the internal operation by assisting with scheduling set-ups, providing clear instructions to operational departments, and generating weekly Schedule of Events reports for staff meetings. Coordination with the Senior Sales Manager is essential for entering event bookings into the Legends Global Month at a Glance Calendar, ensuring that all events are properly documented and managed.

This role requires excellent organizational, planning, and interpersonal skills, a working knowledge of facility management principles, and proficiency in software such as Microsoft Word, Excel, PowerPoint, and floorplan software. The ability to prioritize multiple projects, demonstrate problem-solving and communication abilities, and maintain a professional presentation and work ethic is critical. Supervisory experience is preferred but not mandatory. Physical demands include the ability to move around the facility, stand for long hours during events, and work indoors or outdoors as necessary.

Job Requirements

  • Minimum 2-year associate degree
  • 1-3 years related experience or equivalent combination of education and experience
  • Working knowledge of facility management principles, services and equipment

  • Ability to work under supervision and interact with all levels of staff including management

Job Qualifications

  • 2-year associate degree from a two or four-year college or university
  • 1-3 years related experience or equivalent combination of education and experience
  • Working knowledge of the principles of facility management, services and equipment for a similar facility
  • Excellent organizational, planning and interpersonal skills
  • Experience with some form of floorplan software
  • Proficient in Microsoft Word, Excel and PowerPoint
  • Ability to prioritize multiple projects
  • Demonstrate problem-solving and communication skills
  • Supervisory experience preferred
  • Professional presentation, appearance and work ethic

Job Duties

  • Oversees all aspects of facility operations related to events
  • Meets with client groups to plan and organize assigned meetings and/or events
  • Coordinates activities with the various service contractors for assigned meetings and/or events
  • Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures
  • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details
  • Provides clear, concise, and timely communication of detailed requirements to operational departments
  • Assists in scheduling operational set-ups to provide equipment or service needs
  • Serves as primary liaison between clients and facility departments
  • Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events
  • Follows-up on all client requests, concerns, and problems
  • Attends appropriate planning, organization and other event and facility meetings in support of facility operations
  • Produce a Schedule of Events Report for the weekly staff meeting
  • Work with Sr. Sales Manager to enter in event bookings into Legends Global Month at a Glance Calendar
  • Process contract paperwork
