Job Description
Located in Ypsilanti, Michigan, the Student Life department at a prominent academic institution is dedicated to enhancing the campus experience by providing comprehensive support and services to students. This department is an integral part of the Academic and Student Affairs Division, specifically under the Student Center Operations subdivision. The institution prides itself on a vibrant campus environment where student engagement, event planning, and support services are managed with excellence and a commitment to cultural diversity and inclusivity. As a professional and technical exempt staff member classified under Pay Grade PE 07, this position involves full-time employment, offering a unique opportunity within a dynamic higher education setting. The role primarily focuses on supporting the diverse and evolving needs of both internal and external clients through expert event planning and coordination services.
Job Qualifications
- Bachelor's degree in Hospitality Management or related field or equivalent combination of education and work experience
- two years of progressive experience in large event, conference and catering sales in a fast paced, multi-faceted environment
- proficiency with event management software such as EMS or Resource 25 preferred
- experience in higher education event and catering planning preferred
- working knowledge of Microsoft Word, Excel, and Access preferred
- excellent organizational and communication skills
Job Duties
- Promote, book, manage, and coordinate event details including reservations, menus, audio-visual needs for internal and external clients
- manage weddings, receptions, annual all campus events, VIP and specialty events
- oversee student organization meetings, conference and social events
- coordinate conferences and multi-day events and summer camps
- provide excellent customer service with respect to event planning, implementation, budgeting, and billing
- manage day-to-day event inquiries, complaints, and logistical issues
- coordinate with catering, set-up, audio-visual, custodial and other staff to support event success
- ensure cultural diversity and sensitivity in all services provided
- manage deposits, payments and billing consistency for all events
- maintain accurate event files and records
- recommend and enforce department and university policies
