The position of Event Planner/Scheduler I at FGCU plays a vital role in the smooth operation of campus events and activities. This role supports the scheduling and planning of events held in university-managed spaces, including the Cohen Center and various conference programs. The Event Planner/Scheduler I is an essential member of the Campus Reservations team, assisting in managing daily operations and facilitating effective use of university facilities for both university and community events. The role involves working closely with a wide range of campus constituents and outside contractors to coordinate event logistics that comply with all university regulations and policies.
This position requires meticulous organizational skills, excellent interpersonal communication, and the ability to prioritize and handle multiple projects simultaneously. The professional in this role must be adept at scheduling various types of events, ensuring compliance with university rules on facility use, consumption of alcohol, postings, solicitations, animals on campus, and public expression. Additionally, the Event Planner/Scheduler I supports administrative tasks such as inventory management, coordination of maintenance and work requests, managing correspondence and reports, and handling departmental supplies and records.
The role demands a mix of strong customer service abilities, strategic thinking, and problem-solving skills to diffuse difficult situations and maintain positive relationships across campus and the wider community. Job Requirements
- High school diploma
- Minimum two years full-time experience in related job functions
- Experience in administrative support or event planning
- Proficiency with personal computer and Microsoft Office suite
- Willingness to work evenings, nights, and weekends as necessary
- Ability to interact professionally with diverse campus and community members
- Ability to handle multiple projects with minimal supervision
- Strong communication and organizational skills
- Ability to use or willingness to learn Resource 25 scheduling software
Job Qualifications
- High school diploma
- Two years of full-time experience related to job functions
- Relevant experience in administrative support or event planning
- Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook

Job Duties
- Schedules and plans university and community events in compliance with university regulations, policies, and procedures
- Assists customers with scheduling locations appropriate for their type of event and routes reservation requests as necessary
- Collaborates with campus constituents and outside contractors to coordinate event logistics
- Monitors campus events for compliance with university policies regarding facility use, postings, soliciting, alcohol consumption, animals, and public expression
- Assists with departmental administrative tasks including inventory, correspondence, reports, maintenance and work requests, and record keeping
- Reports building safety, security, and maintenance issues
- Helps coordinate summer camps and conferences using the One Stop Shop business model
- Performs other job-related duties as assigned
