The Event Planner/Coordinator will play a pivotal role in the seamless execution of catering events from initial client inquiry through to final delivery. This role demands exceptional organizational skills, keen attention to detail, and an ability to collaborate effectively with culinary and service teams to create a flawless client experience. The planner will be responsible for generating new catering business by developing and nurturing client relationships, ensuring satisfaction, and driving sales growth. They will act as the primary liaison between clients and internal teams, translating client needs into tailored catering proposals and coordinating all logistical elements including staffing, rentals, transportation, and event setup and breakdown. The position requires flexibility to work evenings and weekends as needed to accommodate event schedules and client demands. The successful candidate will have proven experience in event planning within hospitality or catering, along with proficiency in relevant software such as Microsoft Office, Caterease, Social Tables, and CRM systems. Sales acumen, contract negotiation skills, and a customer-centric approach are essential to meet or exceed monthly and annual sales targets. Job Duties

  • Meet with clients to understand event needs, preferences, and budgets
  • Participate in tastings, site visits, and meetings as needed
  • Respond promptly to inquiries via phone, email, and in-person meetings
  • Understand clients’ needs and design tailored catering proposals
  • Develop event proposals, timelines, and floor plans in coordination with the culinary and service teams
  • Coordinate logistics, including rentals, staffing, transportation, and setup/breakdown
  • Oversee on-site event execution to ensure smooth operations and client satisfaction
  • Maintain relationships with vendors and suppliers to ensure high-quality service
  • Maintain accurate records of sales, contracts, and client communications
  • Meet or exceed monthly and annual sales targets
  • Assist with marketing initiatives, such as event promotions and client outreach
  • Manage multiple events simultaneously, ensuring all deadlines and expectations are met
  • Provide post-event follow-up, including feedback collection and reporting
