The Center for Career & Professional Development (CCPD) at the University of South Florida (USF) is a pivotal resource dedicated to supporting students and alumni in navigating their career pathways. Operating under the Division of Student Success, the CCPD functions as a centralized hub for career planning, offering comprehensive employment assistance services designed to equip individuals with the tools and experiences necessary for success in the professional world. Reporting directly to the Director of Operations and Marketing, the Event Planner position plays an integral role in advancing the mission of the CCPD by orchestrating the planning and execution of a wide range of events. These events are strategically designed to engage university students, employers, and alumni, facilitating meaningful interactions and career-enhancing experiences. The Event Planner is responsible for coordinating career fairs, employer panels, mock interview days, conferences, and promotional events, ensuring that all logistical aspects align seamlessly with the center's objectives.
This role requires close collaboration with the CCPD team, including the Marketing and Communications Officer, to create compelling event experiences that resonate with various stakeholder groups. The Event Planner oversees the entire event lifecycle, from initial planning and scheduling to on-site management, working diligently to secure venues, negotiate contracts, arrange catering, and manage audiovisual and transportation logistics. Additionally, the position involves supervising volunteers, staff, and student workers, providing training and support to ensure successful event outcomes.
Beyond logistical oversight, the Event Planner contributes to budget planning and financial monitoring for events, ensuring fiscal responsibility and adherence to organizational policies. The individual in this role acts as a primary liaison for internal and external partners, representing the CCPD at local, regional, and national event-related engagements. Job Requirements
- Bachelor's degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
- Two years of experience in related positions or Master's degree or equivalent combination of education and experience
- Ability to coordinate and manage multiple events simultaneously
- Strong interpersonal and communication skills
- Experience with budget management and contract negotiation
- Availability to undergo Level 1 or Level 2 criminal background check as required
- Ability to work with diverse populations including students, alumni, employers
- Proficiency with event management and marketing software
Job Qualifications
- Bachelor's degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
- Two years of experience in related positions
- Master's degree in related fields or equivalent combination of education and experience preferred
- Experience in event planning and coordination
- Strong organizational and communication skills
- Ability to work collaboratively within a team
- Proficiency in budget management
- Experience in negotiating contracts
- Familiarity with marketing and promotional material development
Job Duties
- Coordinate event planning efforts with CCPD team members and external community
- Plan, schedule, and monitor logistical activities for special events including registration, facilities, meals, lodging, audiovisual equipment, transportation, and tours
- Design and prepare marketing materials such as brochures and flyers in collaboration with Marketing and Communications Officer
- Serve as primary liaison for program activities with internal and external constituencies
- Oversee and coordinate volunteers, staff, and student workers including training, scheduling, and problem resolution
- Evaluate event requirements including budget, space, facilities, technology, equipment, lodging, and catering
- Participate in budget development, secure bids, negotiate contracts, monitor contract performance, oversee billing accuracy, and coordinate invoice processing
- Perform other duties as assigned
