This Event Planner role is based in the Clearwater, FL area, primarily supporting corporate events in the Tampa and surrounding regions. The position focuses heavily on the hands-on, executional aspects of event planning, emphasizing the management of food and beverage, décor, and onsite delivery to ensure memorable and polished event experiences. This role is ideal for a passionate event planner who delights in orchestrating well-run, detail-oriented corporate meetings, customer-facing events, and social gatherings like happy hours. The Event Planner will work closely with various stakeholders to manage all facets of event logistics, venues, suppliers, and budgets, while also providing crucial onsite coordination from setup through teardown.
This position requires a proactive individual who is comfortable taking ownership of complex logistics and budgetary responsibilities. The successful candidate must be adept at negotiating with vendors to secure favorable terms and managing resources efficiently to align with budget goals. Regular travel up to 25% is required, primarily within Florida, to support regional events, with occasional trips out of the area. Candidates should expect a hybrid work arrangement with a significant in-office presence during the week for collaboration and event preparation. Flexibility for early morning starts and some evening event support is essential.

Job Requirements
- 2 to 4 years of hands on event planning experience preferably in a corporate or hospitality environment
- Demonstrated experience managing food and beverage and décor with strong attention to guest experience and presentation
- Comfortable being onsite for events including setup execution and breakdown
- Strong organizational and time management skills with ability to manage multiple events at once
- Experience managing event budgets including projections and reconciliations
- Ability to work independently while collaborating effectively with stakeholders and vendors
- Strong vendor management and negotiation skills
- Ability to work early mornings often 7 30am starts on occasion to support events beginning at 9 00am
- Flexibility to work occasional evenings and non standard hours as required for events rotated fairly across the team
- Ability to lift and move up to 20 lbs and be on your feet for extended periods during event days
- Clear communicator with strong attention to detail
- Genuine passion for event planning and delivering high quality experiences
- Proficiency in Microsoft Office Suite with strong working knowledge of Excel and PowerPoint
- Experience using Cvent Marketo or other event registration and virtual event platforms
- Education preferred in Hospitality Marketing Communications or related field equivalent experience considered
- Ability to travel up to approximately 25 percent to support regional events and business needs
- Candidates must maintain valid drivers license and reliable transportation for local travel within Tampa area
- Real ID compliant drivers license and valid passport preferred
- Must be located within driving distance of Clearwater FL
- Hybrid work arrangement with in office expectation Tuesday Wednesday and Thursday when not traveling
- Must be able to work some early mornings and after hours events

Job Duties
- Plan and execute a variety of corporate events primarily based in Clearwater and Tampa areas
- Partner with event stakeholders to gather requirements develop event plans and create detailed budgets and proposals
- Manage key logistics for events focusing on food and beverage décor room setup and guest experience
- Research recommend and manage venues catering partners décor vendors and other event suppliers
- Negotiate vendor contracts and manage costs to ensure budget alignment
- Own full budget accountability including projections tracking during planning and post event reconciliation
- Develop event agendas and timelines coordinate audio visual services and third party production partners as needed
- Coordinate event communications including invitations and registration
- Provide onsite event support including early morning setup and after hours execution when required
- Support recurring happy hours and evening events approximately once per month
- Utilize event tracking tools and databases to manage event workflows and reporting
- Collaborate closely with the broader Events team to share best practices and support coverage as needed
- Complete additional event related duties as assigned
