Job Description
The National Association of Mutual Insurance Companies (NAMIC) is a leading national trade association representing mutual property and casualty insurance companies. The organization currently has an exciting opportunity for an Event Planner within its Event, Education, and Association Services department. This full-time position involves multifaceted responsibilities focused on the design and management of educational and networking events for the association. The Event Planner will play a crucial role in managing comprehensive event logistics—from speaker research and hotel negotiations to budgeting and marketing communications. Reporting to the department, the Event Planner is tasked with coordinating details for seminars and committee meetings, serving as a liaison with venues, and supporting marketing efforts including digital promotion and brochure distribution.
The successful candidate will be responsible for executing efficient event planning operations that align with NAMIC’s mission and values, delivering high-quality educational experiences and networking opportunities to members. This role includes oversight of event budgets, expenditure reconciliation, and preparation of detailed conference board reports. Members’ service orientation is critical, as the planner interacts with various stakeholders including clients, vendors, and internal teams. The position requires excellent organizational skills and the ability to handle multiple projects simultaneously in a fast-paced environment.
In addition, the role demands occasional overnight travel for event management both by car and air. Candidates must demonstrate a professional demeanor consistent with the organization's values and pass required background and MVR checks. Job Requirements
- College degree or equivalent experience in related business
- Meeting planning experience
- Demonstrated computer proficiency with Microsoft Office, Adobe, and database management
- Ability to successfully pass a criminal background and MVR check
- Must be available for occasional overnight travel including by car and by air
- Professional demeanor reflective of the organization's values and mission
- Insurance company or agent experience is desirable
- Certified Meeting Professional designation is desirable

Job Duties
- Manage all meeting planning details including speaker research, logistical and presentation material coordination, preparation of meeting specifications and hotel room lists, event budgeting and reconciliation of hotel and meetings expenses, hotel selection and contract negotiations
- Participate in and coordinate arrangements for committee meetings to support meeting planning development
- Work directly with member company committee representatives or programming leaders to determine presentation topics, potential speakers, and secure event details
- Interact with clients, client staff, vendors, and NAMIC association staff
- Serve as liaison to hotel/meeting facilities for events
- Develop, execute, and evaluate marketing efforts for assigned conference events including writing marketing copy, preparing list requests for mailings, digital promotion, and coordinating event brochure mailings
- Assist with budgeting process and maintain budget worksheets and records with quarterly reports
- Prepare quarterly conference board reports for events and projects
- Provide customer service support including positive telephone skills, timely response to emails and phone calls
- Support all aspects of event operations including office procedures, filing systems, and maintaining department work areas
