The Event Manager role at Dynamic Events is a mid-to-upper-level position that requires a mature professional with strong project management skills and the ability to lead teams across executive clients, internal staff, and external vendors. This role calls for someone who can independently manage multiple priority projects with a flexible, creative problem-solving approach, ensuring excellent delivery from start to finish. Event Managers will be responsible for full project leadership on a variety of event executions, serving as the liaison between all parties involved. This includes driving deliverables for impactful project execution and sometimes managing projects with minimal assistance.
Core responsibilities include project management of diverse event experiences encompassing client team coordination, event management, technical digital event setup, and overall deliverables management to meet execution goals. Event Managers will partner with stakeholders early in the planning process to define event strategies, identify target audiences, and align event goals with broader business objectives. They are tasked with managing the entire end-to-end event development process, which includes coordinating production timelines, event agendas, digital content, space allocation, and stakeholder engagement across multiple time zones.
Event Managers also curate event agendas to optimize attendee experience by addressing different learning styles, venue capacity (physical or digital), speaker readiness, and aligning with event objectives. Risk management and creative problem-solving are key aspects of this role as it involves anticipating and mitigating challenges. Keeping up with industry and exhibit design trends, including digital and hybrid event innovations, is essential.
Financial responsibilities encompass budget creation and oversight, managing purchase orders, third-party payments, internal invoices, statements of work (SOW), forecasting, and monthly approvals. Event Managers collaborate closely with third-party vendors to ensure accurate and timely deliverables. Proficiency in event management software and processes is required to handle intricate event details effectively.
The role demands leadership in stakeholder communication, including scheduling meetings with clear agendas and resources, advising clients on venue selection, contract negotiations, vendor requests for proposals (RFPs), and monitoring key performance indicators (KPIs) such as attendance and feedback. Event Managers are tasked with fostering strong client relationships at senior levels, addressing potential issues proactively, and identifying opportunities to expand existing accounts.
Post-event responsibilities involve comprehensive reporting, including analyzing attendee evaluations, conducting stakeholder debriefs, finalizing event reports, and communication management. Job Duties
- Project manage a wide variety of event experiences from client team management, event management, technical digital event builds, and overall deliverables management to achieve the agreed upon execution goal
- Partner with key stakeholders at start of the planning process to identify event strategy, audience targets, and organizational goals mapped to overall business goals
- Proactively manage and spearhead development process for all events end-to-end including project management, production timelines, event agenda, digital content, space allocation and rhythm of business among stakeholders across multiple time zones
- Create and facilitate event agenda with key stakeholders to optimize attendee flow, different learning styles, in-person/digital venue capacity, speaker readiness, event goals and objectives
- Escalate and mitigate risks and challenges as identified and provide creative problem-solving solutions
- Establish and maintain budgets, purchase orders, 3rd party payments and cross charges, internal invoices for service hours worked, SOW creations, forecasting, and monthly approvals
- Effectively participate and partner with third party vendors on planning and execution to ensure all deliverables are timely and accurate
